Job Overview

Salary:
The Financial Operations Associate plays a crucial role in managing and processing invoices efficiently. This position is tasked with ensuring that all invoices are accurate, properly coded to the relevant projects and accounts, and have received the necessary approvals before payments are executed. We seek a meticulous individual to oversee and monitor financial expenditures.

Key Responsibilities

  • Work collaboratively with various departments to collect, analyze, and interpret essential financial information.
  • Receive, process, verify, and reconcile invoices accurately.
  • Execute payments and conduct account reconciliations.
  • Cross-check system reports against balances and confirm entries.
  • Allocate expenses to appropriate accounts and cost centers.
  • Verify vendor accounts, process vendor payments, and resolve discrepancies related to purchase orders, invoices, and payments.
  • Oversee the vendor compliance process to ensure that all necessary documentation, such as lien waivers, W-9 forms, and certificates of insurance, are on file prior to making payments.
  • Assist Project Managers and others with inquiries related to subcontractor and supplier invoices.
  • Independently evaluate and implement necessary adjustments or corrections in accounts payable transactions and processes.
  • Reconcile account transactions with the general ledger.
  • Maintain accurate records and prepare financial reports.
  • Stay updated on regulatory requirements and best practices in accounting.

Qualifications

  • A Bachelor's Degree or Associate's Degree in Accounting, Business, Finance, or a related field is preferred.
  • Two to four years of experience in an Accounts Payable or similar role.
  • Strong understanding of best practices in accounting.
  • Proven ability to accurately process vendor invoices and identify discrepancies.
  • Capable of identifying and resolving errors and omissions.
  • Detail-oriented with strong business acumen.
  • Proficient in MS Outlook, Word, and Excel.
  • Advanced skills in accounting software (Acumatica preferred).
  • Excellent time management skills with the ability to prioritize tasks effectively.
  • Professional demeanor and ability to maintain confidentiality.

Work Environment and Physical Demands: The physical requirements for this position include the ability to sit for extended periods while working at a computer. Effective communication in a typical office setting with standard noise levels is essential. The role may also require occasional standing, walking, bending, and lifting.
