Job Overview

Salary:
The Accounts Payable Analyst plays a crucial role in ensuring the accuracy and timely processing of invoices. This position is tasked with verifying, processing, and electronically archiving invoices, ensuring they are correctly coded to the appropriate projects and accounts, and that all necessary documentation and approvals are in place before payments are made. We seek a meticulous individual to oversee and manage expense controls.

Key Responsibilities

  • Engage with various internal teams to collect, analyze, and interpret essential financial information.
  • Receive, process, verify, and reconcile invoices to maintain accuracy.
  • Execute payments and conduct account reconciliations as required.
  • Review system reports against balances and confirm entries for correctness.
  • Allocate expenses to the correct accounts and cost centers.
  • Verify vendor accounts, process vendor payments, and resolve discrepancies related to purchase orders, subcontract agreements, invoices, and payments.
  • Oversee the vendor compliance process to ensure all necessary documentation, such as lien waivers, W-9 forms, and certificates of insurance, are collected prior to vendor payments.
  • Assist Project Managers and other stakeholders with inquiries related to subcontractor and supplier invoices.
  • Independently evaluate and implement necessary adjustments or corrections in accounts payable transactions and processes.
  • Reconcile account transactions with the general ledger to ensure accuracy.
  • Maintain accurate records and prepare financial reports as needed.
  • Stay updated on regulatory requirements and best practices in accounting.

Qualifications

  • A Bachelor's Degree or Associate's Degree in Accounting, Business, Finance, or a related field is preferred.
  • Two to four years of experience in an Accounts Payable role or a similar position.
  • Strong understanding of best practices in accounting.
  • Proven ability to accurately process vendor invoices and identify discrepancies.
  • Capable of identifying and resolving errors and omissions.
  • Detail-oriented with strong business acumen.
  • Proficient in MS Outlook, Word, and Excel.
  • Advanced skills in accounting software (Acumatica preferred).
  • Excellent time management skills with the ability to prioritize tasks effectively.
  • Professional demeanor with a commitment to confidentiality.
