About This Opportunity

We are seeking a highly skilled Administrative Assistant to join our Support Center team in Houston.

This role involves maintaining office operations, which includes receiving and distributing communications, managing licenses and permits, ordering supplies and equipment, and assisting office staff. To be successful in this position, you should have excellent organizational skills, attention to detail, and problem-solving abilities.

Responsibilities:

  • Receives and distributes communications, collects and mails correspondence, and copies information.
  • Maintains supplies by checking stock levels, anticipating requirements, placing orders, verifying receipt, stocking items, and delivering supplies to workstations.
  • Maintains equipment by completing preventive maintenance, troubleshooting failures, calling for repairs, monitoring operation, and purchasing meter funds.
  • Enhances organization reputation by accepting ownership for new requests, exploring opportunities to add value to job accomplishments.
  • Schedules and coordinates meetings, appointments, and travel arrangements for the CEO.
  • Handles property insurance claims and renewals.
  • Processes store coupon claims.
  • Assists the Accounting Department with filing as needed.
  • Provides administrative services to staff, including copying documents, ordering office supplies, and kitchen supplies.
  • Routes incoming calls and places outgoing calls as needed.
  • Maintains the entire office, including the kitchen, conference room, supply room, fax machine, etc.

Requirements:

  • 3+ years of experience as an administrative assistant or office manager.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, such as printers and fax machines.
  • Proficiency in MS Office, particularly MS Excel and MS PowerPoint.
  • Excellent time management skills and ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask.
  • High School degree; additional qualifications as an Administrative Assistant or Secretary are a plus.
