Job Overview

The Sales Coordinator plays a crucial role in assisting the Director of Sales and Marketing along with the Catering Managers to enhance revenue streams for both negotiated accounts and events.

Key Responsibilities
  • Manage group inquiries, schedule appointments, and handle rooming lists, meeting specifics, contracts, and event orders.
  • Ensure marketing materials and sales kits are up-to-date for client distribution.
  • Utilize tracking systems to provide comprehensive service to customers throughout the booking process.
  • Monitor daily inventory and availability to effectively support group sales strategies.
  • Qualify and reserve group accommodations for business and social gatherings.
  • Provide exceptional customer service from initial contact through to event completion.
  • Maintain organized records of customer interactions and event details.
  • Ensure timely dispatch of contracts to clients to confirm event specifics.
  • Communicate all relevant details regarding groups and meetings during weekly staff discussions.
  • Conduct hotel tours for potential clients and walk-in visitors.
  • Stay informed about upcoming local events and conventions.
  • Develop effective relationships with various professional organizations and cluster group members.
  • Respond to all Requests for Proposals (RFP), Requests for Information (RFI), and Requests for Quotes (RFQ) as directed by Sales Managers.
  • Assist in organizing open house events for major client generators or guest appreciation initiatives.
  • Submit weekly sales and status updates as required.
  • Perform additional duties and projects as assigned by management.
Qualifications

To excel in this role, candidates should meet the following criteria:

  • Preferably possess at least one year of experience in the hospitality industry.
  • Demonstrate effective communication skills with guests and colleagues in a friendly and professional manner.
  • Ability to collaborate with various levels of management and team members.
  • Work independently with minimal supervision.
  • Exhibit initiative, strive for excellence, and maintain a goal-oriented approach.
  • Proficient in computer skills, including the ability to create and manage spreadsheets and reports.
  • Strong writing skills with attention to detail in spelling, grammar, and punctuation.
  • Excellent verbal communication skills for both phone and in-person interactions.
  • Able to multitask and prioritize responsibilities to meet deadlines.
  • Maintain confidentiality and security of all hotel information and documents.
  • Familiarity with hotel management systems and Microsoft Office is preferred.
  • Experience in social media management is a plus.
