As a vital member of the Shea Properties team, the Client Relations Specialist is responsible for managing and facilitating customer service inquiries, providing support to colleagues, and executing special projects as assigned by management.
Key Responsibilities:
- Respond to incoming calls and efficiently address resident inquiries, ensuring a high level of customer satisfaction.
- Process maintenance requests and service inquiries from residents, following up to confirm resolution of issues.
- Coordinate specialized services for residents, such as mail collection, plant care, and pet feeding.
- Maintain an updated directory of local amenities, including educational institutions, shopping centers, places of worship, recreational areas, dining options, and community events.
- Document and track communications with residents, including follow-up and welcome calls.
- Manage a supply of promotional materials and encourage referrals through community engagement.
- Organize and facilitate resident events, ensuring smooth execution and attendance.
- Collaborate with the marketing team to prepare event flyers for distribution.
- Utilize various communication platforms to promote community activities.
- Employ software tools to create newsletters and other resident communications.
- Assist in maintaining key control in accordance with company policies.
- Accurately input data using designated software systems.
- Develop and maintain relationships with local service providers and vendors.
- Oversee the procurement and management of hospitality supplies within budgetary constraints.
- Regularly review online resources to gather relevant information for residents.
- Support apartment tours and leasing activities as directed.
- Address resident complaints professionally, escalating to management when necessary.
- Perform additional duties as assigned, with responsibilities varying based on community size.
Qualifications:
- Demonstrated professionalism, integrity, and confidentiality in all interactions.
- Strong written and verbal communication skills.
- Effective time management and organizational abilities.
- Prior customer service experience in property management, hospitality, retail, or real estate is preferred.
- Proficiency in Microsoft Office Suite; familiarity with property management software is a plus.
- High School Diploma or equivalent is required.
Work Environment:
The Client Relations Specialist operates on-site within a residential community, regularly interacting with residents, vendors, and internal teams. The work schedule is flexible and may include weekends, adapting to the community's needs.
Physical Requirements:
This role requires frequent standing, walking, sitting, and the use of hands for various tasks. The ability to lift and/or move up to 25 pounds may be necessary. Occasional driving may be required as part of the job responsibilities.
