Job Summary

The Accounts Receivable Clerk is responsible for maintaining accurate and up-to-date accounts receivable records, ensuring timely collections, and providing excellent customer service. Key responsibilities include:

  • Managing accounts receivable records in Sage, ensuring accuracy and completeness.
  • Reviewing accounts receivable weekly, initiating collections, and maintaining positive client relationships.
  • Preparing monthly requisitions and creating client lists for Project Managers' monthly billing.
  • Maintaining change order logs and tracking Subcontractor/Supplier activities, obtaining lien waivers.
  • Handling filing, scanning, and organizing tasks, and assisting in various projects as required.
  • Coordinating time transfers between Exaktime, Sage, and Isolved with the Payroll Manager.
  • Verifying sick/vacation time in Isolved for employees not clocked in and maintaining weekly attendance and sick/vacation logs.
  • Supporting payroll processes across systems, compiling and printing payroll reports upon request.
  • Assisting in maintaining employee files and training new employees on accounts receivable and payroll processes.
  • Coordinating with supervisors to resolve missed daily time entries promptly.
  • Developing and implementing strategies to maximize debt recovery while maintaining positive client relationships.
  • Maintaining client records for invoicing and bill payments.
  • Generating monthly Proof of Concept (POC) and Work in Progress (WIP) reports for management and Project Managers.
  • Completing Subcontractor/Supplier tracking sheets and obtaining lien waivers.
  • Developing and implementing billing policies and procedures in compliance with regulations.
  • Performing Project Administrator duties, including document management, gathering submittals and RFI's, collecting field notes, creating change orders, maintaining equipment logs, assisting with payments, and issuing Purchase Orders.

Required Skills and Experience
  • Strong understanding of basic accounting principles.
  • Proficiency in Microsoft Office Suite; SAGE 100 experience is a plus.
  • Strong organizational skills, including multitasking and time-management.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills; capable of working independently and collaboratively.
  • Enthusiasm about learning and advancing within the company.
  • High attention to detail and quick retention of new information.
  • Punctuality and dependability.

Preferred Skills and Experience
  • Associate's degree in accounting, or one year of accounts payable or accounting experience, or an equivalent combination of education and experience.
  • Bilingual in Spanish or Portuguese.
