About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at American Airlines. As a key member of our Global Engagement and Campus team, you will provide administrative support to our management team, ensuring the smooth operation of our office.

Key Responsibilities

  • Schedule meetings and book conference rooms as required
  • Submit and code invoices through our invoicing system, handle invoice inquiries and resolve issues
  • Assist with managing directors' calendars, as needed
  • Process time and attendance transaction entries, bi-weekly and monthly payroll, and time and attendance reporting, as needed; provide resolution to time and attendance issues and inquiries
  • Maintain office supplies for the department
  • Handle incoming mail and packages; assist with outgoing mail/packages, as required
  • Assist with new-hire onboarding for the department
  • Receive and distribute anniversary pins
  • Handle Skyview visitor registration for Global Engagement; greet and escort visitors
  • Help plan and coordinate Global Engagement team events (onsite and offsite)
  • Collaborate with and provide coverage for the departmental Executive Assistant team
  • Submit monthly purchasing card reports; submit expense reports, as required
  • Perform other general office and administrative tasks, as required

Requirements

  • High school diploma or GED (college degree preferred, but not mandatory)
  • Previous administrative experience preferred
  • Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
  • Must possess excellent interpersonal, organizational, oral and written communication skills
  • Ability to maintain a high level of confidentiality and professionalism
  • Must be organized
  • Ability to partner and collaborate with other executive assistants, staff assistants and team members in a proactive and positive manner
  • Must be able to read, write, fluently speak and understand the English language
