This position requires the ability to de-escalate tense situations and swiftly address issues to ensure that client expectations are met.

The Client Relations Specialist must uphold a high standard of professionalism and represent the organization positively.

Each interaction impacts the company's success, so an effective Client Relations Specialist must contribute value to the organization.

Key Responsibilities:

Orders from existing clients will be processed by the Client Relations Specialist, bypassing outside sales personnel.

For unique products, the individual in this role will direct requests for quotes to the appropriate team member.

Ensure that shipping logistics are in place and coordinated effectively.

The Client Relations Specialist will confirm with production teams that orders can be fulfilled on schedule before entering them into the system and verifying with the client.

Engage with production periodically to ensure commitments are realistic.

Inform clients if there are any challenges in meeting agreed-upon timelines, establish new shipping dates, and follow up accordingly.

Address issues related to quality, service, or payment by escalating them to the relevant sales personnel when necessary.

Provide timely feedback to management regarding challenges or client concerns.

Collaborate with the sales team to meet and exceed client service expectations.

Listen attentively, document, and assist in resolving conflicts with clients, ensuring they feel prioritized and confident in the company's ability to deliver results.

Manage and prioritize multiple concerns simultaneously.

Requirements:

Must possess a solid understanding of the business, products, and services.
Ask probing questions to gain insight into issues and gather necessary information for resolution.
Demonstrate excellent attention to detail.
Communicate clearly and promptly, both verbally and in writing.
Ability to de-escalate situations effectively.
