POSITION SUMMARY

The Purchasing Support Specialist will assist Buyers and the merchandising team throughout the procurement process. This role involves daily administrative tasks within a dynamic purchasing environment. The Purchasing Support Specialist will execute entry-level purchasing activities and collaborate with other procurement staff to ensure the effective acquisition of products and services. Responsibilities include maintaining precision in product creation, purchase orders, and sales confirmations, while also serving as a liaison between vendors and the Buyers. Daily interactions with suppliers are essential, as well as updating critical timelines and communicating delivery changes to the merchandising team. The specialist must comprehend all deadlines and promptly report any inconsistencies to the Buyer, upholding a high standard of confidentiality and professionalism. Furthermore, this role entails organizing and cataloging samples in the designated area, along with various clerical responsibilities linked to assigned categories.

KEY RESPONSIBILITIES
  • Establish and maintain an organized system for all product samples in accordance with the designated procedures, ensuring easy access and current records of all samples.
  • Assist Buyers, Associate Buyers, and Assistant Buyers through various tasks, including:
    • Responding to emails and faxes at the Buyer's direction or during their absence. Participating in Category Management Team (CMT) or Marketing meetings as requested. Collaborating on special projects with the Buyer and Assistant Buyer.
  • Act as a mediator with vendors when discrepancies arise between purchase orders and sales confirmations, fostering positive relationships while prioritizing the company's best interests. Create, update, and maintain comprehensive vendor files.
  • Timely research and resolve issues related to Stores, Marketing, Advertising, Accounts Payable, Distribution Center, Logistics, and Product Development.
  • Input product information into the system accurately, ensuring all details align with purchase orders, quotes, and vendor confirmations.
  • Notify the Data Integrity department and collaborate with them to rectify any inaccuracies in product information.
  • Maintain a systematic approach to managing purchase orders and sales confirmations for team accessibility and clarity.
  • Collaborate with fellow Purchasing Support Specialists to ensure consistency and organization within the Category Management Team.
EDUCATION & EXPERIENCE

Minimum Education: Bachelor's Degree in Merchandising, Fashion Merchandising, Business, or a related field.

Minimum Experience: 0-2 years in Merchandising or a related area.

Preferred Experience: 0-2 years in a Merchandising internship, retail experience, or similar roles.

WORKING ENVIRONMENT
  • This position requires in-person attendance four days a week, with potential remote work as determined by management needs.
  • Ability to sit or stand at a workstation for extended periods while maintaining focus and productivity.
  • Navigate an office environment and between buildings, including reaching for files and supplies, while adapting to various workstation setups.
  • Work standard business hours, with flexibility for extended hours based on project demands.
  • Utilize various communication methods, including written, verbal, and electronic.
  • Lift and carry office supplies and equipment weighing up to 40 pounds as necessary.
