As the Onboarding Operations Manager, you will play a pivotal role in shaping the experiences of our new hires, ensuring that their introduction to our company aligns with our core values and facilitates their seamless integration into our workplace culture. Key Responsibilities:

Primary Duties:

  • Manage the New Hire Onboarding Process, coordinating schedules for the HR team and onboarding facilitators.
  • Deliver segments of the New Hire orientation as scheduled.

Compliance Responsibilities:

  • Identify and relay background considerations to the HR Manager for compliance with relevant regulations.
  • Maintain and process data regarding clearances and eligibility for hire.
  • Oversee drug screening and other necessary assessments for new hires.
  • Coordinate compliance training and onboarding modules for all new employees.
  • Prepare Quarterly New Hire Compliance Reports for leadership review.
  • Ensure adherence to salary guidelines for new hires in accordance with company policies.

Team Leadership:

  • Drive key performance indicators (KPIs) set by management, such as offer letter approval times and onboarding efficiency.
  • Monitor and motivate team performance to achieve goals related to efficiency and accuracy, enhancing overall client satisfaction.
  • Lead the onboarding team, ensuring compliance with established business processes.
  • Facilitate weekly team meetings to promote cohesion and continuous improvement.
  • Collaborate with the HR Manager in the recruitment of onboarding staff.
  • Coordinate performance appraisal inputs for the onboarding team with the HR Director.
  • Ensure completion of clinical licensure certification processes.
  • Lead New Hire Orientation sessions.
  • Maintain effective communication with new hires and departments regarding training and relevant updates.
  • Address challenges within the onboarding process and escalate issues as necessary.

Administrative Duties:

  • Act as the administrator for the background check process for management.
  • Review New Hire Audit reports from senior HR personnel.
  • Provide initial approval for Offer Letters, ensuring accuracy and timely distribution.
  • Oversee the organization and processing of new hire documentation.
  • Manage the SkillSurvey reference platform, offering support and training to hiring managers and HR team members.
  • Provide backup support for personnel requisitions in the applicant tracking system.

Collaboration:

  • Work alongside the HR Operations Specialist as a subject matter expert.
  • Partner with HR leadership and cross-functional teams to resolve workflow challenges.
  • Ensure timely follow-up on pending new hire items, including regular reviews with management.

Special Projects:

  • Serve as a liaison for process improvement initiatives within HR.
  • Conduct comprehensive reviews with background check providers for insights and recommendations.
  • Perform other related duties as assigned.

Technical Skills:

  • Extensive experience with applicant tracking systems and HRIS.
  • Advanced proficiency in MS Office, particularly Excel.

Job Type: Full-time, Nonexempt

Compensation: $41.52 per hour ($72,000 - $80,000 annually)
