Job Overview

This is a part-time role requiring 20 hours per week. The successful candidate will be responsible for processing purchase orders for authorized internal requests as well as government-initiated order requests. Familiarity with and practical experience in utilizing FARS/DFARS regulations related to procurement and contracts is advantageous.

Key Responsibilities:
  • Engage in negotiations with suppliers to establish agreements and contracts; review these agreements to evaluate risk factors and prepare necessary internal risk assessment documentation.
  • Thoroughly document all purchase orders to facilitate future audits; acquire certificates of insurance or other necessary certifications for service-related orders.
  • Assess and monitor vendor performance in relation to ISO/CMMI compliance audits.
  • Develop and issue Requests for Quotations (RFQs) or Requests for Proposals (RFPs), which may involve working within secure computer networks; gather vendor responses and summarize quotes received.
  • Maintain positive vendor relationships, ensuring timely follow-ups and efficient problem resolution based on urgent needs.
  • Utilize electronic systems for conducting business transactions, compiling vendor data, and generating various reports.
  • Collaborate within a team environment as needed while completing all assigned individual tasks related to time-sensitive material and service orders.
  • Demonstrate proficiency in MS Word, MS Excel, Adobe, Outlook, and SharePoint, alongside effective internet research skills.
  • Exhibit strong verbal and written communication abilities.
Additional Duties:
  • Review purchase requests to ensure adequate item descriptions, pricing, proper authorizations, and sufficient funding, while adhering to current procurement regulations and policies.
  • Provide written documentation explaining any rejections and the corrective actions required from customers when necessary.
  • Research, evaluate, and select vendors based on optimal pricing and availability to meet various customer purchase requests, following all required approvals.
  • Analyze proposals for compliance with specifications and terms of solicitation.
  • Prepare comprehensive and accurate contract documents, ensuring the inclusion of appropriate clauses and special provisions.
