Position Title: Blueprint Room Associate
The primary responsibility of this role is to assist the Blueprint Room Coordinator in the printing and distribution of blueprints, data entry, receipt of submittals, permit acquisition, and the generation of Test Certificates and Hydraulic Plates.
This position demands a proactive individual who thrives in a dynamic, multi-tasking environment, with a strong emphasis on administrative tasks, organization, reporting, and data management.
Key Responsibilities:
Responsibilities include, but are not limited to:
- Generate weekly reports detailing submittals and project close-outs.
- Maintain the submittal log by updating critical information such as authority, project name and number, original submittal date, General Contractor details, and relevant department information, ensuring proper electronic filing.
- Digitally archive received Test Certificates and maintain physical copies in designated binders.
- Execute daily filing tasks, organizing permits, submittals, and transmittals by project.
- Retrieve files for Operation & Maintenance Manuals and organize them in the designated area.
- Ensure filing is conducted systematically and that storage cabinets remain orderly.
- Process received permits by copying, scanning, saving, and filing appropriately.
- Complete Test Certificates and Hydraulic Plates daily, documenting progress in the design log.
- Prepare daily packages for shipment via UPS, adhering to protocols for timely and accurate delivery.
- Coordinate with designers regarding the required format for submittal forms and prepare materials for dispatch.
- Handle revisions and resubmittals as directed, ensuring all necessary documentation is filed and copied accordingly.
- Compile daily index sheets for product data submittals and file them appropriately.
- Assemble Operations & Maintenance Manuals as required, updating the Close-Out Progress Report as necessary.
- Organize and maintain all binders essential for Blueprint Room operations.
- Manage the blueprint machine, including feeding paper and replacing ink as needed, ensuring all equipment functions correctly.
- Safely handle large blueprints, supplies, and machinery, with the ability to lift up to 50 lbs.
- Travel to job sites as required, adhering to all safety protocols.
Qualifications:
To be successful in this role, candidates must demonstrate the ability to perform each essential duty effectively. The following qualifications are necessary:
Education and Experience:
- High school diploma or GED is mandatory.
- A minimum of 2 years of administrative experience is essential.
- Experience in construction or mechanical operations is advantageous.
- Familiarity with fire sprinkler systems is beneficial.
Technical Skills:
- Proficient in Microsoft Office applications (i.e., Word, Excel) is required.
