Role Summary:

The Payroll and Accounting Specialist plays a crucial role in managing payroll processes across multiple states, handling expense reimbursements, and supporting accounts payable functions.

Key Responsibilities:

  • Multi-State Payroll Management: You will oversee the semi-monthly payroll for multiple states using ADP, ensuring accuracy and compliance with all relevant regulations. Key tasks include:
  1. Maintaining precise payroll records and deductions for both salaried and hourly employees.
  2. Ensuring compliance with state and federal regulations regarding timekeeping and tax obligations.
  3. Reconciling payroll reports with source documents and addressing discrepancies promptly.
  4. Reviewing payroll tax returns and managing related notices efficiently.
  5. Providing assistance to employees regarding payroll inquiries and changes.
  6. Maintaining regular communication with employees, HR personnel, and management.
Expense Management: You will review and process employee expense reimbursements through Concur/Appzen, adhering to the company's travel and expense policies and schedules.Accounts Receivable: You will apply payments to client accounts and assist with weekly deposits, ensuring accurate financial records.Accounts Payable: You will manage the AP email, enter invoices related to payroll, and process urgent payments as needed.Financial Record Maintenance: You will balance and load journal entries for payroll into our GL software and assist with month-end closing activities.

This job description outlines the primary responsibilities and requirements for the Payroll and Accounting Specialist role. Duties may evolve as business needs change.

Qualifications:

  • At least 3 years of experience in multi-state payroll processing, with a preference for ADP experience.
  • A minimum of 1 year of accounts payable experience, preferably with Sage Intacct.
  • Proficiency in Microsoft Office, particularly advanced Excel skills.
  • Familiarity with Concur expense reporting software is a plus.
  • Strong verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Exceptional attention to detail and organizational capabilities.
  • Strong analytical and problem-solving skills.
  • Knowledge of payroll laws and regulations at federal, state, and local levels.
  • Capacity to manage multiple tasks in a fast-paced environment.
  • A proactive and positive attitude.
  • Strong motivation and work ethic, with the ability to work independently and collaboratively.
