Job Summary

We are seeking a highly skilled Administrative Support Specialist to join our team at ILS Products LLC.

The successful candidate will be responsible for providing administrative support to our office operations, ensuring the smooth day-to-day functioning of the business.

Key Responsibilities:

  • Manage office procedures and communications to ensure efficient operations
  • Schedule appointments and meetings, and manage staff schedules
  • Provide exceptional customer service via phone and email
  • Manage email and maintain organized communication systems
  • Assist with inventory management and ordering supplies
  • Support other staff members with data organization, message drafting, and administrative tasks
  • Perform clerical duties, including filing, data entry, and answering phone calls
  • Develop and maintain administrative systems to improve efficiency
  • Handle sensitive information with confidentiality
  • Take accurate minutes of meetings
  • Coordinate repairs to office equipment
  • Greet and assist visitors to the office
  • Perform photocopying and printing tasks as needed

Requirements:

  • 3+ years of experience in office administration
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Experience with QuickBooks Desktop and Microsoft Office Suite
  • Multiline phone system experience
  • Strong attention to detail and organizational skills
