Job Overview

The primary role of the Mailroom Operations Specialist is to efficiently manage and distribute both incoming and outgoing correspondence within the organization. This includes the reception of mail from postal services, sorting, and ensuring timely delivery across various departments. The specialist is also responsible for preparing daily mail dispatches and maintaining adequate supplies in the mail and copy area.

Compensation: $14.42 per hour.

Position Type: Part-time, 20 hours per week.

Work Schedule: Day shift, 0.5 FTE.

Qualifications and Skills Required:

  • Education: No formal education required.
  • Experience: No prior experience necessary.
  • Essential Skills:
    • Proficient reading abilities
    • Basic computer literacy, including document printing
    • Effective written and verbal communication
    • Ability to work independently
    • Capability to meet deadlines
  • Driving Requirements: Not applicable.
  • Preferred Skills and Experience:
    • At least six months of experience in a mailroom setting is preferred.
    • Experience in organizing and preparing printed materials.
    • Strong decision-making and problem-solving abilities.
    • Excellent communication skills and attention to detail.

Any combination of education and experience that provides equivalent knowledge, skills, and abilities may be considered.

Key Responsibilities:

  • Sort and organize incoming and outgoing mail.
  • Utilize automated postage machines to weigh mail for accurate postage.
  • Open and sort mail, discarding any junk correspondence.
  • Time and date stamp all incoming and outgoing mail.
  • Deliver mail to designated departments and mailboxes.
  • Coordinate with transportation services for inter-office mail delivery.
  • Complete address change and mail hold requests.
  • Operate multi-function printing equipment.
  • Maintain a clean and organized mail and copy room.

Additional Duties:

  • Perform other related tasks as assigned.
  • Assist various departments with printing, collating, and stapling as needed.
  • Fulfill any other duties as required.

  • 75% Office Work: Frequent use of computers and technology; involves data interpretation, decision-making, and effective communication.
  • 5% Sedentary Work: Prolonged sitting with occasional standing and light physical activities.
