The Central Controls division within Citi's Chief Operating Office is pivotal in shaping, executing, and supervising enterprise control standards and frameworks. Within this division, the Chief of Staff Team plays a crucial role in managing and overseeing the function, encompassing all organizational administrative tasks, management routines, communications, and special initiatives. A member of the Chief of Staff Team will be responsible for coordinating and managing activities such as tracking business financials, monitoring employee headcount, managing team communications and presentations, coordinating strategic initiatives and projects, as well as addressing other administrative needs and ad hoc projects as required. The ideal candidate will possess the ability to juggle multiple initiatives simultaneously while expanding their network to uncover opportunities for ongoing enhancement.

Key Responsibilities:

  • Collaborate with the Controls organization to develop PowerPoint presentations on various topics, including but not limited to: headcount, financials, regulatory/internal issue validation, metrics dashboards, management information trends (including visualization/charting), and executive summary commentary on program/project/business statuses.
  • Facilitate administrative, operational, reporting, and quality enhancements through collaboration across the Controls community, with minimal oversight.
  • Design and supervise headcount management initiatives for the organization, including the creation of job requisitions from posting to employment offer status. Collaborate with Human Resources and Central Controls team leaders on the development of new hiring requisitions in systems, including the formulation of headcount metrics and dashboards.
  • Oversee vendor management tasks, including onboarding/offboarding requirements, third-party management responsibilities, and expense management during contract negotiations.
  • Coordinate business unit and regional disaster recovery planning scenarios.
  • Maintain functional operating routines, including agenda planning, materials preparation, and minutes documentation for staff meetings, operating reviews, and program updates.
  • Manage and publish a calendar of all organizational events and deliverables, actively ensuring the completion and quality of deliverables.
  • Plan, execute, and oversee team culture initiatives, including town halls, roundtables, coffee hours, new hire orientation, skip levels, mentorship programs, seating location reviews, hardware/software renewals, and various other employee-related programs.
  • Administer financial controls by applying a comprehensive understanding of departmental expenses, including appropriate accruals, disciplined expense management of line items (Travel & Entertainment, Consultancy Engagements, etc.), and collaboration with Finance on budget versus expense plan tracking.

Qualifications:

  • 6+ years of experience in the financial services sector.
  • Proficient in PowerPoint and data/metric visualization for management-level/executive presentations.
  • Strong multitasking and prioritization skills, with the ability to self-manage multiple competing priorities. A proactive, hands-on approach is essential for successful candidates.
  • Experience in global and complex environments with multiple senior-level stakeholders, including familiarity with the various layers and departments of large financial institutions.
  • Demonstrated ability to collaborate within a team of diverse skill sets, cultures, and geographies.
  • Proven capability to thrive in high-pressure, dynamic settings with competing, time-sensitive deadlines.
  • Consistently exhibit clear and concise written and verbal communication skills, with a strength in presentation design.
  • Prior exposure to regulations, control design to mitigate risks, and/or business management is advantageous.

Education:

  • Bachelor's degree/University degree or equivalent experience in a related field. A Master's degree is a plus.
