Job Title: Back Office Medical Assistant with Ophthalmology Experience

Job Responsibilities:
  • Provide physicians and their clinics with necessary equipment and supplies for efficient clinic operations.
  • Ensure exam rooms are organized before and after clinic sessions.
  • Maintain eye drop samples and coordinate with representatives under the supervision of the BO Supervisor.
  • Respond to patients' questions in the office and over the phone.
  • Process Rx refills and obtain authorizations for in-office procedures and specialist referrals.
  • Conduct necessary testing, including Visual Fields, OCT, Fundus Photos, Pachymetry, and Topography.
  • Calibrate equipment daily, weekly, monthly, and quarterly as directed by the manufacturer.
  • Administer TearLab and iLUX treatments for dry eye.
  • Document patient information in NextGen and send patient data to the Patient Portal.
  • Travel to satellite offices and assist with patient workups.
  • Order back office supplies and inventory in assistance to the BO supervisor.
  • Manage and catalogue photos into NextGen.
  • Train new hires and students.
  • Stock satellite offices and maintain, clean, and handle back office equipment.
  • Schedule outside testing, such as retinal evaluations, CT scans, MRI's, and print pathology for physician review.
Administrative Non-Back Office Work:
  1. Perform administrative functions within the office as needed.
  2. Participate in front office and patient scheduling tasks and duties.

Requirements:

  • Minimum of 1 year back office experience in Ophthalmology.
  • Experience working with a retina specialist.
  • COA, COT, or COMT certification preferred.
  • Excellent computer skills, including Microsoft Office.
  • NextGen experience is a plus.
  • Ability to work in a fast-paced environment.
  • Great customer service skills.
  • Excellent verbal and written communication skills.
  • Organized and detail-oriented.
  • Management or leadership experience a plus but not required.
