Position Title: Commercial Property Management Assistant
Working Hours: Monday – Friday, 8 AM – 5 PM, subject to change based on property requirements. Temporary Position: 6-8 Weeks
Compensation: $23-$26 per hour.
Role Summary:
The Commercial Property Management Assistant plays a crucial role in aiding the Property Manager with the daily execution of policies and procedures aimed at ensuring properties are well-managed and maintained. This position emphasizes the importance of addressing tenant concerns and adhering to environmental and fire safety standards in alignment with the owner's objectives.
Key Responsibilities:
- Foster and maintain positive relationships with tenants, vendors, and contractors.
- Oversee accounts payable and receivable for each property, including invoice coding and entry into the accounting system.
- Handle tenant inquiries and input service requests into the work order system; coordinate with building engineers.
- Prepare commencement notices and rent commencement documentation.
- Assist the Property Manager in the bidding process for contracted services.
- Manage rent collection processes.
- Conduct property inspections to ensure all physical aspects are operational and well-maintained.
- Prepare annual Common Area Maintenance (CAM) billings.
- Administer lease management and ensure accuracy of rent rolls.
- Review monthly variance reports, tenant ledgers, and aged receivable details.
Qualifications:
- Prior experience in Commercial Property Management.
- Familiarity with Commercial Office building leases.
- Proficient in accounting software such as Yardi, MRI, or AppFolio.
