Position Summary:

The Compensation and Benefits Supervisor is responsible for overseeing the payroll and benefits operations of the organization. This role includes managing a Payroll Administrator who is tasked with the daily payroll processing. The primary focus is on ensuring compliance and optimizing processes to improve the efficiency of payroll and benefits management. This position reports directly to the Chief Financial Officer and collaborates closely with local HR managers across multiple locations.

Key Responsibilities:

Payroll Oversight:

  • Supervise the preparation and execution of bi-weekly and semi-monthly payroll for all staff.
  • Guarantee precise calculations of wages, overtime, bonuses, deductions, and taxes.
  • Manage specific payroll tasks and oversee the Payroll Administrator to ensure operational efficiency.
  • Ensure adherence to all payroll-related federal, state, and local regulations.

Benefits Management:

  • Oversee the administration of employee benefits programs, including health, dental, vision insurances, retirement plans, and wellness initiatives.
  • Coordinate with benefits providers for accurate and timely enrollment, modifications, and terminations.
  • Prepare and manage annual open enrollment and related benefits activities.
  • Stay informed on benefits trends and propose enhancements to programs.
  • Collaborate with the Payroll Administrator and local management to ensure accurate processing of workers' compensation claims.
  • Act as the main contact between the organization, employees, insurance providers, and legal representatives during claims processing.
  • Monitor claims status and resolve any arising issues while ensuring compliance with regulations.
  • Ensure consistency in elections and contracts while managing invoice payments and reporting to the CFO.

Compliance and Reporting:

  • Ensure payroll and benefits operations comply with all relevant regulations, including FLSA, ACA, and ERISA.
  • Manage relationships with external auditors and facilitate payroll and benefits audits.
  • Oversee the preparation and submission of necessary reports and filings, such as tax filings and benefits reporting.
  • Conduct regular audits of payroll and benefits processes to maintain accuracy and compliance.
  • Assist in compiling monthly information to monitor key performance indicators.

Operational Oversight:

  • Ensure payroll and benefits systems are effectively maintained and utilized by the team.
  • Serve as the primary contact for escalated payroll and benefits issues, providing resolution support as needed.
  • Develop and implement payroll and benefits policies that align with company objectives.
  • Analyze current payroll and benefits processes and recommend improvements for enhanced efficiency and compliance.
  • Monitor industry trends and regulatory changes to keep payroll and benefits practices current.
  • Identify and implement opportunities for process enhancements within payroll and benefits administration.
  • Lead educational initiatives for employees on payroll and benefits topics, ensuring staff is informed about available programs and resources.

Qualifications:

  • Bachelor's degree in Human Resources, Accounting, Business Administration, or a related field.
  • A minimum of 5 years of experience in payroll and benefits management, with supervisory experience preferred.
  • Strong knowledge of payroll and benefits regulations and best practices.
  • Proficiency in payroll and benefits software; knowledge of Paylocity is advantageous.
  • Excellent communication and problem-solving abilities.
  • Certification as a Payroll Professional (CPP) or similar certification is a plus.
  • Occasional travel may be required.

Job Type: Full-time – In-office, 5 days a week.
