The ideal candidate will possess a strong understanding of national accreditation policies and hospital procedures, as well as excellent communication and organizational skills. This position requires a high degree of initiative and independent judgment, with the ability to assess and direct programmatic issues, including long-range planning, recruiting trainees, and managing internal and external program relations.
Key Responsibilities:
- Administration: Provide support to the program director, maintain databases, develop and implement office systems, and develop monthly/yearly schedules.
- Budgets & Financial: Work with the business manager to develop and monitor the training program budget, process check requests, and pay bills associated with program activities.
- Communication, Outreach & Recruitment: Perform match responsibilities, assist with quota review, and maintain the Electronic Residency Application System database.
- Evaluation: Facilitate the evaluative processes of trainees, program, faculty, and rotations, and identify methods for improving workflow and cost effectiveness.
- Human Resources: Oversee department-level trainee orientation, correspond with new trainees, and track and process initial paperwork for visa requests.
- Program Development: Assist in preparing for Accreditation Council for Graduate Medical Education site visits and internal reviews, and understand the curriculum, educational goals, policies, and standards of the medical education program.
- Regulatory Compliance: Interpret and apply ACGME, other national accrediting agencies, and hospital policies to support compliance, and track, report, and ensure compliance with procedures regarding licensing, moonlighting, and annual contracts.
- Trainee Support: Provide administrative supervision and support to trainees, inform them of inter- and intra-departmental policy and procedure changes, and coordinate trainee rotations and observerships.
Qualifications:
- Bachelor's degree or appropriate combination of education and experience.
- One year experience in program/project administration or relevant.
