About the Role:

The Guest Services Representative is a vital member of our team at Northwest Center, responsible for providing exceptional customer experiences to our visitors and employees. As a key point of contact, you will be the first face many people see when entering our facilities, and your warm and professional demeanor will set the tone for their visit.

Key Responsibilities:

  • Facilitate the opening and closing of the Spheres front desk, ensuring a seamless experience for guests and employees.
  • Monitor and manage reservations, ensuring timely and accurate processing.
  • Help resolve any escalations with guests and visitors professionally and politely, providing solutions to their queries and concerns.
  • Assist in covering entry hotspot locations in the Spheres if coverage is needed, ensuring our facilities are always staffed and ready to serve.
  • Create trouble tickets for facility issues brought to your attention, ensuring prompt resolution and minimizing disruptions.
  • As necessary, facilitate communication between event requestors, the events team, and key vendor staff, ensuring smooth execution of events and activities.
  • Support special projects and varied tasks assigned by leadership, demonstrating adaptability and a willingness to learn.

Requirements:

  • 2 years of customer service, call center, reception, event staffing, or administrative support experience.
  • High energy, detail-oriented, and reliable, with a passion for delivering exceptional customer experiences.
  • Exceptional interpersonal skills and the ability to interact with the community, building strong relationships and trust.
  • Ability to multi-task in a fast-paced environment while always remaining professional and friendly, handling multiple requests and queries simultaneously.
  • Flexibility to work some nights and weekends during operating hours, demonstrating a willingness to adapt to changing schedules and needs.
  • Strong conflict resolution, critical thinking, and problem-solving skills, with the ability to analyze situations and provide effective solutions.
  • Must be proficient with MS Windows, Excel, and Outlook email, with a basic understanding of technology and software applications.
  • High School Diploma or GED, with a focus on customer service, communication, and teamwork.

Working Conditions & Physical Demands:

  • The space is inhabited by various plant life, so any allergies may impede performance of duties.
  • Humidity and temperature conditions may vary in order to maximize the plant life in the space, with temperatures maintained between 70 and 75 degrees and an average humidity level of 60%.
  • The position requires standing for long periods of time up to the entire length of the shift, with occasional walking and movement throughout the facility.
  • Must adhere to dress code and be conscientious about personal hygiene, maintaining a clean and professional appearance at all times.
  • May need to carry supplies to other buildings, with occasional lifting and moving of equipment and materials.
  • Ability to walk consistently within a 1.5 radius, with occasional walking up and down stairs when roving the space and assisting customers.
  • Reading, writing, and oral proficiency in the English language, with the ability to communicate effectively with guests and employees.
  • Ability to see both distance and details at close range, within a few feet of the observer, with or without corrective lenses.
  • Ability to identify and understand the speech of another person, with or without a personal auditory hearing device.
  • This is a dog-friendly environment, with over 1000 dogs on campus, so individuals with dog allergies or those who do not particularly care for dogs may not be the best fit.
