Key Responsibilities:
  • Engage in clinical operations approximately 50% of the time while serving as the Patient Coordinator for physician teams as required.
  • Collaborate with Senior Management to formulate departmental policies and procedures, ensuring adherence and compliance.
  • Maintain effective communication with the Clinic Manager, providing insights and suggestions for improving clinical outcomes and operational efficiency.
  • Oversee the onboarding and training of clinical personnel, ensuring they are well-versed in procedures and protocols essential for effective clinic operations.
  • Develop, update, and refine training materials to uphold best practices, accuracy, and compliance, ensuring staff are equipped with necessary resources.
  • Manage the scheduling of staff and physicians, oversee time-off requests, and ensure accurate timekeeping for assigned personnel.
  • Assess clinic workflows and implement modifications to enhance efficiency and deliver high-quality patient care.
  • Conduct monthly staff meetings, perform quality reviews, and manage employee performance evaluations.
  • Regularly inventory and order clinic medications and laboratory supplies.
  • Assist the clinic manager in addressing and resolving patient experience issues.
  • Uphold patient confidentiality and adhere to all HIPAA regulations.
Qualifications:

Knowledge, Skills, and Abilities:
  • Ability to manage multiple projects and daily operational demands effectively.
  • Strong critical thinking skills for making informed clinical decisions based on communication.
  • Exceptional interpersonal, verbal, and written communication skills, along with problem-solving and organizational abilities.
  • Proficient in engaging with patients, families, and staff from diverse backgrounds.
  • Ability to cultivate relationships and influence stakeholders at all organizational levels.
  • Proven capability to drive change and foster effective team dynamics.
  • Familiarity with personal computer applications, including Excel and Word; proficient in electronic health records.
  • Willingness to travel to various locations as needed.
Education:
  • High school diploma or equivalent required.
  • Active Nursing License required.
  • Bachelor's degree in Health or Business Administration preferred.
Experience:
  • A minimum of five years in a medical office setting is required.
  • At least three years of management experience in a medical office or similar environment is required.
