Job Overview

Starting Salary: $60,000 - $75,000

POSITION SUMMARY:

The Grants and Compliance Specialist will support the Grants and Compliance Manager throughout the complete grant lifecycle, from inception to completion. This process initiates prior to the receipt of funds and continues post-award as the project is implemented. Each phase of the grant lifecycle presents unique tasks and requirements that evolve continuously.

KEY RESPONSIBILITIES:

  1. Ensure precise and timely billing for grants and monitor expenditures by line item as dictated by various grants.
  2. Work in collaboration with Accounts Payable and Payroll to guarantee accurate coding of personnel and operational costs in relation to grant funding.
  3. Develop and document efficient grant management procedures aligned with accounting policies to enhance internal controls.
  4. Establish and maintain records for awarded grants.
  5. Provide clear and consistent guidance on grants and contracts in accordance with grant accounting processes and regulations.
  6. Deliver regular financial reports on grants to management for performance evaluation and decision-making support.
  7. Assist in the budget preparation for all grants, including tracking expenditures, reporting, and resolving discrepancies.
  8. Prepare reimbursement requests for Federal, State, and local grants.
  9. Monitor and reconcile assigned grant funds.
  10. Provide necessary information for audits of grant activities.
  11. Oversee the activities and financial compliance of state and federal grants received and maintain a comprehensive grants worksheet.
  12. Prepare various monthly journal entries.
  13. Review and draft grant budgets and amendments.
  14. Compile grant reports and financial documentation.
  15. Prepare monthly grant claims for submission, including supporting documents such as earnings statements and invoices.
  16. Assist the Grants and Compliance Manager in implementing budget tracking versus actuals in the ERP and/or Excel, ensuring continuous monitoring and reporting of all grants.
  17. Contribute to the overall success of the department.

SUPERVISORY RESPONSIBILITIES:

This role does not entail supervisory responsibilities.

QUALIFICATIONS:

Education/Experience:

  • Bachelor's degree from an accredited institution in accounting, finance, or a related field; a master's degree in business administration or accounting is highly preferred.
  • Minimum of 2 years of accounting experience, including familiarity with general ledger accounting principles.
  • At least 2 years of experience in grant compliance.
  • Experience in the non-profit sector is preferred but not mandatory.

Certificates, Licenses, and Registrations:

  • Certification as a Public Accountant or Internal Auditor is preferred.
