Key Responsibilities:

  • Oversee and manage requests through the facilities work order system, ensuring effective communication with relevant service providers and technicians.
  • Collaborate with vendors, contractors, and facilities personnel to ensure timely completion of service requests.
  • Evaluate and prequalify vendors, establish customer relationships, set up contracts, and maintain performance monitoring systems.
  • Review, code, and process invoices and expense reports for the facilities department.
  • Prepare and manage monthly reports related to facility operations.
  • Track and report damages to the building caused by external factors.
  • Ensure compliance with all necessary permits and inspections.
  • Monitor utility consumption (gas, water, electricity) and coordinate with appropriate vendors and city entities to resolve any issues.
  • Assist in budget preparation and financial reconciliation.
  • Support departmental projects and initiatives as required.
  • Perform additional duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Minimum of 2 years of relevant experience.
  • Strong analytical skills and sound judgment.
  • Exceptional attention to detail and organizational abilities.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and customer service capabilities.
  • Proficient in Excel and database management.
  • Self-motivated and results-oriented.
  • Ability to think strategically and implement solutions.

  • Capable of meeting deadlines in a fast-paced environment.

Work Schedule:

  • Standard work hours are Monday through Friday, 8 a.m. to 5 p.m.
  • This is a full-time role, requiring 40 hours per week with flexibility in scheduling.
