Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our Residential Services team at Happiness House CP Rochester. As an Administrative Assistant, you will provide administrative support to the Vice President and Director of Residential Services, ensuring the smooth operation of our residential programs.

Key Responsibilities:

  • Provide high-level secretarial support to the department vice president and director
  • Schedule and organize meetings, interviews, travel, conferences, and other activities for department managers
  • Type and process department reports, documents, and evaluations as required by agency and regulatory bodies
  • Update departmental records as needed
  • Process invoices, check requests, purchase orders, supply orders, and payroll information as directed
  • Work with the Training Coordinator to review Residential employee training records
  • Maintain files as needed
  • Provide support to Residential Leadership team and attend department meetings and record meeting minutes
  • Order office supplies for Residential department as well as RNs, LPNs, and Med Liaisons
  • Provide support and coverage to agency reception desk as needed
  • Ensure internal and external mail is coordinated and sent to the appropriate individuals
  • Take, type, and distribute meeting minutes as assigned
  • Communicate in a professional manner while handling incoming phone calls, greeting visitors, and responding to phone, e-mail, and personal requests for assistance

Requirements:

  • High school diploma or GED. An Associate's degree is preferred.
  • Previous successful experience in administrative/clerical work preferred.
  • Knowledge of office management, office machines, phone systems, and proficiency in typing.
  • Proficient in the use of Microsoft Office software (Word, Excel, PowerPoint).
  • Ability to comply with professional standards of conduct, including pleasant speaking voice and courteous manner as well as the type of personality able to meet the demands of the position.
  • Demonstrated ability to effectively communicate orally and in writing.
  • Demonstrated excellent time management skills and organization skills.
  • Demonstrated commitment to performing job duties and tasks at a high level of performance.

Work Environment:

This job operates in an office setting.

Mental Requirements:

General intelligence, motor coordination skills, coordination of eyes, hands, and feet, verbal intelligence, and numerical intelligence.

Travel:

Any travel is primarily local during the business day.
