Position Overview:
The Front Desk Administrator plays a vital role in delivering administrative assistance to the project teams within Brasfield & Gorrie.

Key Responsibilities:
As an essential member of the office, the Front Desk Administrator will undertake the following duties:

  • Manage office security protocols, including access badges and related requirements.
  • Collaborate with property management to address office needs and resolve any issues.
  • Handle incoming calls and route them to the appropriate personnel.
  • Welcome visitors and provide necessary assistance.
  • Receive and distribute incoming mail, courier deliveries, and express packages.
  • Coordinate outgoing mail and arrange for courier pickups.
  • Oversee the ordering, organization, and maintenance of office supplies.
  • Ensure the upkeep and functionality of office equipment.
  • Maintain common areas, including restocking refreshments as needed.
  • Manage conference room bookings, anticipating meeting requirements and coordinating with facilitators.
  • Arrange catering for meetings, including logistics for pick-up, delivery, and setup.
  • Assist with travel arrangements, including booking transportation and accommodations.
  • Support event planning for office gatherings, client engagements, community initiatives, and seasonal celebrations.
  • Provide general administrative support to the division manager and other team members as required.

Qualifications:
To be successful in this role, candidates should possess the following:

  • A Bachelor’s degree is preferred.
  • A minimum of one year of experience in an office setting.
  • Meticulous attention to detail and a commitment to producing high-quality work.
  • Ability to identify and rectify errors in personal work.
  • Strong verbal and written communication abilities.
  • Proficiency in Bluebeam and Microsoft Office Suite.
  • Willingness to learn new software applications.
  • Exceptional customer service skills and a positive demeanor.
  • Self-motivated with the ability to work both independently and collaboratively.
  • Capacity to thrive in a dynamic, fast-paced environment.
  • Skill in prioritizing multiple tasks with competing deadlines.
  • Commitment to maintaining confidentiality.
