Job Overview:


The Trust Accounting Specialist is integral in ensuring precise oversight and reconciliation of funds held in trust, facilitating the smooth execution of real estate transactions.

This role demands a meticulous individual capable of thriving under pressure and adhering to deadlines while upholding exceptional standards of accuracy and professionalism.

Work Environment:
This position necessitates in-office attendance five days a week. Standard working hours are from 8:30 AM to 5:00 PM.



KEY RESPONSIBILITIES:

Management of Trust Funds:
Provide critical support in the administration and accurate documentation of trust funds, including the preparation of deposits as required.

Daily Financial Reconciliation:
Reconcile daily banking transactions with internal records, promptly addressing any discrepancies within departmental timelines.

Monitoring Overdrafts:
Review daily overdraft reports and take necessary corrective actions as needed.

Processing Stop Payments:
Accurately manage stop payment requests from branch operations and Quality Assurance personnel.

Data Entry Tasks:
Enter manual data into the trust accounting system, ensuring precision and accuracy.

Record Keeping:
Maintain organized records and files to ensure compliance and ease of access.

Regulatory Compliance:
Follow company policies, procedures, and regulatory standards, completing required compliance training by set deadlines.

Collaborative Engagement:

Work cooperatively and interact professionally with all levels of management, employees, and clients through various communication channels.


Customer Relations:

Exhibit courtesy, adaptability, professionalism, and a proactive approach to meet the needs and expectations of supervisors, colleagues, and clients.


Additional Responsibilities:
Accept guidance, direction, and constructive feedback, and undertake other tasks as assigned.

REQUIRED KNOWLEDGE AND SKILLS:

Technical Skills:
Proficient in Microsoft Windows, Office Suite, and Outlook. Basic computer skills are essential.

Organizational Abilities:
Strong attention to detail with excellent organizational skills to prioritize and manage multiple tasks effectively.

Communication Skills:
Possess clear, grammatically correct, and business-appropriate written and verbal communication skills. Recognize the importance of nonverbal communication.

Independence and Initiative:
Ability to operate independently with sound judgment, taking initiative when necessary.

Professional Demeanor:
Maintain a personable, positive, and professional attitude as a representative of the organization.

This role primarily involves sedentary work, including sitting, standing, twisting, walking, and occasionally lifting or moving objects.
