Absence Management Coordinator

The Leave Administration Expert serves as a key resource on various leave types, including FMLA, state-specific leave regulations, company policies, and ADAAA compliance. This role entails a comprehensive understanding of the entire leave process and the coordination of benefits as per company guidelines, encompassing Short Term Disability (STD), Long Term Disability (LTD), Family Medical Leave Act (FMLA), State Leave Laws, Military (USERRA), Workers Compensation (WC), and other company leave policies. Additionally, this position will assist with payroll inquiries and escalations.
Key Responsibilities:
- Manage the administration of employee leaves of absence through the Company's third-party leave administrator (TPA), ensuring compliance with federal and state laws as well as company policies, including FMLA, ADA, Short Term and Long Term Disability, Parental and Military leaves.
- Collaborate with HR Business Partners and Managers to address inquiries, escalations, and coordination of leave benefits.
- Conduct leave administration tasks, including drafting company correspondence, data entry, overseeing the return-to-work process, document analysis, and maintaining accurate records.
- Act as a liaison among the Company, employees, managers, and relevant third parties regarding leave of absence matters.
- Work with internal teams (e.g., workplace accommodations, employee relations, workers compensation, benefits, talent acquisition, and legal) on leave-related issues as necessary.
- Address questions related to leave policies or laws.
- Partner with the TPA to document internal discussions, communications, and changes in systems and processes with clarity and precision.
- Contribute to the development and enhancement of process automation and efficiency improvements.
- A Bachelor's degree is preferred, ideally in Business, Human Resources, or a related discipline.
- Minimum of 5 years of experience in a collaborative environment within human resources, payroll, or benefits administration.
- Familiarity with SAP, Kronos, and other HRIS or payroll systems is advantageous.
- Strong understanding of HIPAA, FMLA, ADA, USERRA, STD, LTD, and state leave regulations.
- Knowledge of benefits administration is preferred.
- Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Demonstrated ability to efficiently input, review, organize, and analyze data.
- Exceptional customer service and interpersonal skills, capable of engaging with internal and external stakeholders at all levels.
