Cosmetic Physician Partners is seeking a highly skilled Front Desk Receptionist - Check-In & Referral Coordinator to support our partner, West Michigan Plastic Surgery, in their mission to provide exceptional patient care and a comprehensive plastic surgery experience.
Key Responsibilities- Welcome patients, clients, and visitors, determine the purpose of their visit, and direct them to the appropriate person or department.
- Promptly and professionally answer telephone calls, route them appropriately, and offer voice mail, paging, or redirection of calls as needed.
- Notify employees to meet visitors and direct them to the appropriate waiting areas.
- Function as a referral specialist, managing all referrals that come into the office by phone or fax, and ensure the collection of appropriate medical records with the referring office.
- Verify with the physician that they approve referrals and then schedule appointments.
- Answer incoming online and/or phone inquiries from potential patients regarding injections, MedSpa services, cosmetic procedures, specials, and events.
- Daily, check the info email account and distribute emails to the appropriate staff.
- Daily, check for incoming leads in the CRM system and respond same day to all leads per protocol.
- Respond to answering service messages immediately in the morning and after lunch.
- Acquire Auto and Workers Comp information for new patients.
- Print and distribute the daily patient schedule to providers and Hand Therapy.
- Daily, scan documents into the EMR system per patient and under the correct tab.
- Enter patient demographics into the Practice Management system daily.
- Review charts for the day and prepare any missing Superbills.
- Facilitate patient flow and communicate delays with patients and clinical staff.
- Follow all Clinic policies on safety and security, maintain restricted areas safe by safeguarding keyless entry codes and computer system passwords in strict confidentiality.
- Appropriately and courteously screen solicitors for relevance to the organization's needs.
- Verify lab pick up.
- Accept payments in the office and over the phone for patient balances.
- Record cash payments in the receipt book.
- Take weekly inventory counts for product per protocol.
- Explain financial requirements to patients or responsible parties and collect copays as required.
- Responsible for keeping the reception and patient waiting areas, and office files clean and organized.
- Monitor medical office supplies and inventory needs, place office supply orders, and oversee office equipment.
- Provide backup and coverage for the Front Desk-Check Out position during clinic and PTO.
- Perform other duties as assigned by the physician and/or Practice Manager.
- High school diploma or equivalent.
- One year of experience in reception in a medical office setting.
- Prefer completion of a course in Medical Terminology.
- Willingness to work evenings and/or weekends as needed.
- Willingness to attend continuing education courses at the request of the employer.
$19/hour + 10% commission on all product sales
Schedule32 hours/week; 4 days/week
