Overview

The Facilities Maintenance Manager oversees the daily operations of the Maintenance and Housekeeping teams. This role involves organizing departmental activities, conducting maintenance inspections, and ensuring all mechanical systems within the property are functioning optimally. The Facilities Maintenance Manager is also tasked with the efficient operation of all building systems, including HVAC, elevators, and pools, while fostering a motivated and high-performing team.

This position demands a commitment to delivering exceptional service in alignment with the values and mission of the Castle Group. Responsibilities include collaborating with various departments and engaging with external clients to uphold service excellence.

Key Responsibilities

  • Oversee the overall maintenance and aesthetic quality of both the interior and exterior of the property.
  • Conduct daily property inspections to ensure a visually appealing environment with fully operational amenities.
  • Assist in obtaining bids and proposals, providing recommendations to the Community Association Manager regarding the physical aspects of the property.
  • Monitor the performance of service contractors and maintenance teams, identifying issues and coordinating timely responses.
  • Manage inventory by ordering and organizing necessary parts, supplies, and materials.
  • Ensure all inventory acquisitions receive prior approval from the Community Association Manager and adhere to established purchasing protocols.
  • Comply with budgetary guidelines set forth by the Association's Operating Budget.
  • Train staff on safety protocols as mandated by OSHA and the Castle Group.
  • Maintain a safe working environment while executing all responsibilities.
  • Collaborate with the Community Association Manager to develop and implement the Hurricane Preparedness Plan for the property.
  • Provide detailed reports to the Community Association Manager regarding property conditions, safety concerns, and other significant matters.
  • Assist in the formulation and execution of a preventative maintenance program, documenting all procedures and processes.
  • Ensure all personnel are adequately trained, fulfill their assigned roles, and possess the necessary tools and supplies.
  • Implement the maintenance work schedule as directed by the Community Association Manager.
  • Respond to emergencies as required, maintaining a thorough understanding of emergency protocols and equipment.
  • Communicate promptly with the Community Association Manager regarding the status and resolution of any emergencies.
  • Perform additional duties as assigned by the Community Association Manager.

Qualifications

Education/Training/Certifications/Licenses:

A high school diploma or equivalent is required. Completion of vocational training in Electrical, HVAC, mechanical, or plumbing fields is highly preferred.

HVAC certification, CPO certification, or other relevant certifications may be required based on property needs.

Experience/Knowledge/Skills:

A minimum of three to four years of supervisory experience in a Maintenance Supervisor role or a similar position is essential. Strong customer service, communication, and interpersonal skills are required, along with effective written and verbal communication abilities.

Computer Skills:

Proficiency in computer systems is necessary, particularly with Microsoft Windows, Word, Excel, PowerPoint, and Outlook.

Language Proficiency:

Fluency in multiple languages may be required or preferred, depending on community demographics.

Travel and Availability:

Occasional travel for training may be necessary. Flexibility to work extended hours and weekends is required.

Physical Requirements:

Candidates must be able to lift up to 50 lbs. while adhering to safety protocols. The role requires prolonged standing, the ability to navigate tight spaces, and adaptability to various environmental conditions (heat, cold, wind, rain). Responsibilities include walking, climbing stairs, and handling equipment. Effective communication skills are essential for exchanging information. Candidates must also be able to respond to auditory and visual emergency signals and may need to possess a valid driver's license.
