Position Summary:

The Virtual Continuing Education Coordinator operates autonomously, executing a diverse array of intricate and confidential administrative and clerical support tasks. This role necessitates exceptional communication and interpersonal abilities, dependable customer service, and the capacity to furnish information to a broad spectrum of internal and external stakeholders. Beyond clerical assistance, the Coordinator will aid the Continuing Education Department in facilitating the student enrollment process, organizing student records, and supporting the institution in achieving overall retention and enrollment objectives.

Key Responsibilities:

  1. Enrollment Management: Develop and oversee semester and annual class schedules for students, ensuring all modifications are executed accurately and promptly. Input registration and scheduling data for both new and returning students. Assess new student files for compliance. Establish and maintain student records in CRM systems and electronic formats. Procure textbooks for students in a timely manner. Propose enhancements to streamline processes.
  2. Data Reporting: Generate reports for coordinators and sales representatives, including attendance and payment plans. Assist in student outreach initiatives to bolster additional Continuing Education markets as required.
  3. Student Account Management: Prepare necessary documentation for students to secure funding from stakeholders and manage funding spreadsheets for various markets as needed. Aid in the administration of student payment plans, late payments, and accounts receivable.
  4. Client Support: Deliver customer service by reviewing, evaluating, routing, responding to, and tracking follow-up actions on all communications (phone, mail, email, text, chat). May be tasked with providing phone coverage during peak times. Assist new students with navigation support for learning management systems. Report to coordinators and representatives on the progress of newly enrolled students' orientation.
  5. Technical Proficiency: Utilize various technical applications, including MS Office (Word, Excel, PowerPoint), database management systems, graphic design tools, electronic calendars, and email platforms.

Qualifications:

  • Associate degree required
  • 1-2 years of experience in an administrative capacity
  • Ability to comprehend curriculum requirements, course content, and necessary prerequisites for each program offered
  • Proficient in internet navigation with various browsers
  • Ability to collaborate effectively as part of a team to achieve overall institutional goals
  • Familiarity with Microsoft Office products, particularly Excel

Preferred Qualifications:

  • Bachelor's degree preferred

Physical Requirements and Work Environment:

This position necessitates the ability to stand or sit in a stationary position, as well as the occasional requirement to lift, carry, push, or move objects weighing up to 10 pounds.

The role also requires the use of computer technology and equipment.

Effective communication skills are essential for conveying detailed and critical instructions or ideas accurately and promptly.

Salary: $40,000 per year ($19.23 per hour). This position is eligible for overtime.
