About Zubatkin Owner Representation: Zubatkin Owner Representation ("ZOR"), a Cumming Group Company, was founded in 1994 and primarily caters to not-for-profit entities, including museums, performing arts, educational, and religious organizations, across the East Coast of the United States. Our practice focuses on aiding in the strategic planning, design, and construction of capital projects. Our varied portfolio encompasses all phases of a project's development—from initial real estate analysis, master planning, and programming through design, construction, and move-in—for both new construction and renovation projects.

Position Overview: We are currently seeking a Project Accountant/Project Controls Analyst based in New York, NY. This role reports directly to the Project Controls Director and will be assigned to various projects to assist in developing, tracking, and analyzing budgets, expenditures, risk management, and other financial reporting functions while proactively engaging with the internal team on known or potential issues.

Key Responsibilities:

  • Collaborate with project managers to facilitate budget development activities.
  • Implement financial accounting procedures and systems, along with training and workshops for the project management team and/or contractors.
  • Establish the project control system accounting software to document and maintain all budget, contracting, and expenditure activities, ensuring alignment with original budgets.
  • Monitor and track contingency usage and exposure logs.
  • Prepare Anticipated Cost Reports, Cash Flow reports, and specialized budget analyses.
  • Provide insights and analysis on anticipated and current situations, bringing issues to the internal project team's attention.
  • Oversee project-related insurance coverages and certificates.
  • Review proposals and contracts for accuracy, including attachments, math errors, and established billing rates.
  • Engage with clients regarding project accounting protocols, payment management, and reconciliations between ZOR and clients.
  • Conduct monthly reconciliations of the client's project cost general ledger.
  • Coordinate with consultants and vendors to ensure timely setup, invoicing, and payments.
  • Review all invoices and contractor requisitions for accuracy, job names, math errors, previous billings, and outstanding balances.
  • Ensure all consultant statements are received, recommended, and recorded, following up with clients as necessary.
  • Engage with external project teams on invoicing and facilitate any billing resolutions.
  • Maintain communication with the internal ZOR project team regarding project status and cost activities.
  • Issue reports to the Project Team, Management, and Clients, ensuring accuracy and timeliness.
  • Assist Project Managers with closeout procedures, ensuring all costs are processed and included in final billing, and that all applicable waivers are received.
  • Participate in client and project meetings as required.
  • Support clients with additional lender or funding paperwork as necessary.
  • Collaborate with the internal ZOR project team, providing support as needed.

Qualifications:

  • Bachelor's Degree in Accounting, Finance, Business, or a closely related field is highly preferred.
  • The ideal candidate should possess a minimum of 5 years of demonstrated experience as a Project Accountant/Project Controls professional (preferably in real estate, construction, or non-profit sectors).
  • Ability to manage multiple projects simultaneously and adapt to changing priorities. Strong financial and analytical skills, along with attention to detail, are essential.
  • Advanced proficiency in Microsoft Excel; familiarity with QuickBooks is preferred.
  • Desired qualities include being organized and proactive, possessing clear communication skills (both oral and written), strong client and team relations skills, and being a team player.
