Administrative Support Specialist

Job Summary:
The Support Specialist will provide advanced administrative support to the assigned department at the plant. This role involves performing and coordinating administrative tasks related to daily activities, including word processing, document preparation, and file maintenance. The Support Specialist will also coordinate the preparation of records, assist with department budget, training records, travel arrangements, expense reports, office supplies, and record retention. Additionally, this role will involve maintaining department web pages, creating purchase orders, processing invoices, and handling special projects related to the department.
Responsibilities:
- Provide advanced administrative support to the assigned department at the plant.
- Perform and coordinate administrative tasks related to daily activities, including word processing, document preparation, and file maintenance.
- Coordinate the preparation of records, including agenda, notices, minutes, and LOP for department management team weekly meetings.
- Assist with department budget, training records, travel arrangements, expense reports, office supplies, and record retention.
- Maintain department web pages.
- Create purchase orders and process invoices to Accounts Payable.
- Handle special projects related to the department.
- Schedule and organize activities, including meetings, meeting documentation, and video conferences for members of the department.
- Support management to maintain target achievement and task completion as assigned.
- Handle confidential information and material.
- Monitor and communicate to managers deviations on Budget Variance reports, forecasting reports, and SAP activities for the department.
- Update the TX target/status system.
- Perform other duties as assigned by the operations supervisor.
Qualifications:
- High School Diploma or GED equivalent.
- Associate Degree a plus.
Required Skills:
- Experience: 3+ years of related administrative procedures.
- Fluent in German (either native speaker or certified in German language).
- Training: As applicable, per training guidelines.
- Licenses and/or Certifications: Valid driver's license may be required based on department.
Preferred Skills:
- Advanced: SAP - (Purchasing, Manager's Desktop, Finance, and Time Administration modules).
- Advanced: presentation and organizational skills.
- Advanced: ability to handle multiple tasks.
- Intermediate: communication and organizational skills.
- Intermediate: computer skills (Microsoft Excel, Word, PowerPoint, Access, Outtask, etc.).
- Intermediate: knowledge of organizational processes (budget, headcount).
- Intermediate: using and/or knowledge and familiarity with a variety of office equipment (e.g. PC, Printers, Plotters, Video conference, etc...).
Physical Requirements:
- Work is normally performed in an office, laboratory, manufacturing floor, or machine shop setting where physical work includes, but is not limited to, sitting, standing, reaching, kneeling, bending, and lifting up to 25 lbs.
- Must be able to understand and comply with all relevant safety practices.
FLSA Status/Working Schedule:
- Location: Greer, SC.
- Shift Schedule: Full-time.
- Weekly Overtime: None planned but as needed.
- Weekend Work: None planned.
- Travel: 10%.
- Assignment Start: ASAP.
