About the Role

We are seeking a highly skilled and experienced Senior Administrative Assistant to join our team at the Manufacturing Futures Institute (MFI) at Carnegie Mellon University. As a key member of our team, you will provide administrative support to our leadership team, ensuring the smooth operation of our department.

Key Responsibilities
  • Provide administrative assistance, including coordinating meeting logistics, maintaining calendars, and drafting correspondence and reports.
  • Manage complex calendars, ensuring that our leadership team is well-prepared for upcoming meetings and events.
  • Work closely with our leadership team to ensure timely action items and travel arrangements are handled efficiently.
  • Handle confidential information with the utmost integrity and discretion.
  • Be the welcoming face of MFI at Mill 19, greeting and supporting our visitors, collaborators, and program attendees.
  • Manage office equipment and supplies, room reservations, and meeting support, as well as arrange departmental social events and respond to correspondence and inquiries.
  • Assist with purchasing and accounting functions, including budget management.
  • Act as a liaison or contact person with other university departments and outside organizations.
  • Assist in research, preparation, and processing of information, as well as provide training to newly hired staff and students.
  • Recognize opportunities for departmental improvements and recommend changes, participating in their implementation.
  • Maintain calendars to ensure timely identification and adherence to critical issues, such as performance reviews and project reviews.
  • Provide general office management, including setting up and maintaining complex file systems and supporting staff and budget-related processes.
  • Attend various meetings within the department and may serve on inter-departmental committees.
Requirements
  • Associate's degree required (Bachelor's degree preferred)
  • 10+ years of relevant work experience
  • Successful background check
