Job Summary

This is a challenging and rewarding opportunity to join the Department of Industrial Relations as a Legal Secretary. As a key member of our team, you will provide administrative support to our attorneys and investigators, ensuring the smooth operation of our legal unit.

Key Responsibilities
  • Prepare and finalize legal documents, including pleadings, motions, and other court filings.
  • Electronically file legal documents in various court systems, including the workers' compensation system.
  • Serve legal documents and other papers on parties to an action.
  • Review court rules and regulations to ensure compliance with filing and service requirements.
  • Organize and maintain up-to-date case files, including electronic and paper records.
  • Coordinate depositions, including arranging for locations and court reporters.
  • Prepare and serve subpoenas.
  • Provide general administrative support to the office, including answering phones, responding to emails, and performing other tasks as needed.
Requirements
  • High school diploma or equivalent required; associate's or bachelor's degree preferred.
  • Minimum of 2 years of experience as a legal secretary or in a related field.
  • Excellent typing skills, with a minimum of 45 words per minute.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Ability to work in a fast-paced environment and prioritize multiple tasks.
  • Strong organizational and communication skills.
Working Conditions

This is a full-time position located in the Department of Industrial Relations, Office of the Director Legal Unit. The building is 22 stories tall and houses offices for several State of California agencies. The Legal Secretary works in a seated cubicle and requires extensive use of a computer, monitor, keyboard, and mouse throughout the day.

Special Requirements

This position requires professionalism, discretion, and adherence to confidentiality requirements. The ability to accurately follow instructions, reliable attendance, and the ability to type at least 45 words per minute are essential. The ability to use a computer and full proficiency in the functions of Microsoft Word, Outlook, and Adobe for the creation and finalization of formal legal documents, calendaring, and email are also essential.
