Key Responsibilities:

  • Work closely with the Project Manager to evaluate job setup documents, input essential data, and establish project accounts.
  • Accurately and promptly prepare monthly AIA billings, Time & Materials, and Stipulated Sum invoices for clients.
  • Reconcile work in progress (WIP) accounts, ensuring all supporting documentation is complete and maintain related invoice records.
  • Enter subcontractor invoices, AIA documents, material invoices, and purchase orders into the internal accounting system.
  • Ensure the accuracy of client accounts, change orders, and subcontractor details.
  • Generate compliance reports and provide necessary documentation for project team meetings.
  • Verify subcontractor insurance information and maintain accurate records within our software.
  • Organize and manage electronic project files on the shared network drive for accounting purposes.
  • Produce monthly reports detailing the company's work-in-progress and maintain the project billing schedule.
  • Monitor accounts receivable aging and collaborate with project managers and clients to facilitate timely collections.
  • Select invoices related to jobs for payment during each check run.
  • Review the accounts payable pending invoice register, ensuring timely approval and coding of job-related invoices.
  • Investigate and resolve issues concerning accounts payable aging and prepare necessary client waivers of lien and statements.
  • Assist in gathering information for year-end financial statement reviews and provide additional support as directed by management.
Qualifications:
  • Minimum of four years of relevant experience in the construction industry.
  • Familiarity with accounting software such as Acumatica, Procore, QuickBooks, Buildertrend, or similar platforms, along with proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong interpersonal, written, mathematical, and verbal communication skills.
  • Excellent analytical abilities with a keen attention to detail.
  • Capability to work independently and as part of a collaborative project team.
  • Bachelor's Degree in Accounting, Business Administration, or Economics.
