Job Summary:
We are seeking a highly skilled Executive Assistant to join our team at Northstar California Resort. This is a full-time role that will provide executive assistance and project management support to the Vice President and General Manager of the mountain.The Ideal Candidate
If you have 5+ years of experience in an administrative role, with a strong focus on providing exceptional support to senior-level executives, we want to hear from you- You possess excellent organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- You have a proven track record of delivering high-quality results in a fast-paced environment.
- You are a strong communicator, with excellent written and verbal skills.
- You are proficient in Microsoft Office Suite and computer software systems.
What You'll Do
As an Executive Assistant, you will be responsible for providing administrative support to the General Manager, including managing calendars, scheduling appointments, and coordinating travel arrangements. You will also be involved in various projects, such as preparing meeting agendas, creating reports, and performing routine office tasks.- You will oversee multiple calendars, schedules, and facility bookings.
- You will manage all scheduling, travel plans, and expenses of the General Manager.
- You will work with the General Manager to manage communication of upcoming commitments and responsibilities.
- You will support resort training programs, communication plans, and management outreach.
- You will manage budget as it applies to the General Manager.
- You will assist in the preparation of meeting agendas, resort communications, contracts, and other reports.
- You will perform routine office tasks, including phone system management, mail, email, coordinating calendars and appointments, travel arrangements, alarm system management, parking permitting, establishment and maintenance of filing systems, pay checks, etc.
- You will prioritize and manage multiple assignments with fluctuating and time-sensitive deadlines.
- You will assist with planning and coordination of events as needed.
- You will manage Mountain Money process.
- You will manage site purchasing, inventory, maintenance, and repair.
- You will handle guest and community relations duties, including telephone contact and preparation of correspondence.
- You will maintain company calendars and schedules (Manager's days off, budget calendar, contact info, organizational charts, etc.) and SharePoint sites (for SLT and Northstar Leaders).
- You will demonstrate flexibility, dependability, and a positive attitude, willingness and ability to support all frontline operations during high-volume time periods, as needed.
- You will manage and maintain office equipment, scheduled maintenance, and associated service contracts. Maintain and secure all specialized office equipment.
- You will coordinate cleaning and upkeep Administrative offices.
- You will assist with other tasks that may be assigned.
- You will manage leases, lease payments, and payment schedules.
- You will manage subscription and membership accounts, such as magazine renewals, HOA & Chamber dues.
- You will coordinate local Records Retention & Management with departments and corporate.
- You will perform other duties as assigned.
Requirements
To be considered for this role, you must have:- A High School Diploma or GED.
- At least 5 years of previous administrative experience to an executive-level position or equivalent experience.
- Strong knowledge of Microsoft Office Suite and Computer Software systems to effectively complete assigned tasks.
- Excellent written and verbal communication skills.
- Excellent organizational skills.
- Fluent English Language skills.
Compensation and Benefits
The estimated salary range for this role is $25.00 - $30.00 per hour. This is a competitive offer, considering the location and industry standards. Additionally, you will receive comprehensive benefits, including health insurance, dental insurance, vision insurance, and more.-
