  • Facilities Management: Ensure the office meets Skidmore, Owings & Merrill LLP’s standards and maintain standards on a daily basis.
  • Office Operations: Serve as the first point of contact for all office renovations, staff issues, repairs, and improvements, as well as office emergencies like loss of power, leaks, HVAC, and elevator emergencies.
  • Landlord and Building Management: Act as the point of contact for all operational items and actions with the landlord/building management.
  • Emergency Management: Collaborate with HR and IT to ensure best practices.
  • Office Security: Implement policies for office facilities, including fire safety, business standards, and help desk tickets.
  • Security Cards and Access: Maintain and administer office security cards, building card access, and weekly security reports.
  • Intranet Site: Update the Intranet site with key office listings, including telephone, fire warden, searchers, first aid/CPR certified, emergency communications, office resources, and operational policies.
  • Seat Assignments: Manage seat assignments with Senior Leadership and update seat assignments, floor maps, and seat reporting for studio heads.
  • New Hire Onboarding: Ensure all desks are cleaned, IT equipment is set up, and appropriate furniture is available for new hires.
  • Staff Moves: Coordinate and oversee all aspects of internal staff moves.
  • Communication: Communicate and interact daily with staff and new hires to ensure facilities procedures are compliant with SOM standards.
  • Best Practices: Communicate with firm-wide peers to develop and implement best practices.
  • Maintenance and Cleaning: Schedule maintenance cleaning, painting, furniture repair, and storage.
  • Procurement: Supervise the ordering of pantry supplies, office supplies, and furniture, as well as oversee building cleaning company services.
  • Vendor Management: Develop relationships and work daily with vendors on COL, contracts, and solicit proposals.
  • Budget Management: Review monthly expenditures to ensure adherence to budget guidelines.
  • Furniture Disposal: Coordinate purchases and disposal of furniture and fixtures with Finance.
