The Construction Project Management Coordinator plays a crucial role in the oversight and administration of various bidding and project management tasks for projects at different stages, including those in pursuit, preconstruction, or active construction. This position ensures the precision, completeness, and continuity of project documentation through effective communication and collaboration with team members and clients.

Key Responsibilities:

  • Facilitate timely and effective communication with project managers, engineers, executives, superintendents, clients, and other stakeholders.
  • Provide dependable, helpful, and deadline-oriented support to colleagues.
  • Manage multiple projects and timelines, proactively addressing questions, concerns, and suggestions as necessary.
  • Monitor project information, track progress and modifications, update schedules, and maintain awareness of all project aspects to deliver efficient assistance.
  • Support project managers in the successful execution of diverse projects, from initial bidding and RFP responses to preconstruction planning, construction execution, and project close-out.
  • Ensure that project documentation is accurate, complete, securely stored, and accessible to team members in both internal and external systems.
  • Create, update, and maintain project documentation and data in project management software, including change orders, subcontracts, and purchase orders.
  • Manage owner contracts, performance and payment bonds, bid bonds, and surety letters.
  • Assist the accounting team in preparing monthly pay applications.
  • Maintain the weekly bid schedule and participate in estimating meetings, tracking deadlines and data for all new and ongoing bids.
  • Contribute as a member of the administrative team, assisting with routine office tasks as needed during colleague absences.

Qualifications:

  • Previous experience in a similar role within the construction, engineering, architecture, or general trades sectors is preferred but not mandatory.
  • Ability to prioritize tasks and manage multiple responsibilities; exceptional time management skills and capacity to meet deadlines in a dynamic environment.
  • Excellent written and verbal communication skills, with strong proofreading and editing capabilities.
  • Meticulous attention to detail and a highly organized approach to work.
  • Ability to maintain confidentiality regarding sensitive information.
  • Positive attitude, personal integrity, and a strong desire to contribute to team success.
  • Proficiency in Microsoft Office, particularly Excel; familiarity with project management platforms like Procore and e-Builder is advantageous but not essential.
  • A valid driver's license is required for occasional delivery of bids to client offices.
  • A notary public license is a plus but not required.
