Key Responsibilities:
- Warmly greet and assist patients and their families upon arrival, ensuring a professional and welcoming atmosphere.
- Efficiently manage patient registration and appointment scheduling, ensuring all necessary paperwork is completed accurately.
- Handle incoming calls with professionalism, directing inquiries to the appropriate personnel and relaying messages promptly.
- Facilitate patient check-out processes, scheduling follow-up appointments in accordance with established guidelines.
- Maintain accurate records of patient cancellations and reschedule appointments as necessary, keeping the clinical team informed.
- Provide essential administrative support, including filing and maintaining an organized lobby area, ensuring all necessary forms and supplies are readily available.
- Adhere to all confidentiality and compliance regulations, including HIPAA guidelines, to protect patient information.
- Perform additional duties as assigned, contributing to the overall efficiency of the office.
Qualifications:
Level 1:
- High school diploma or equivalent is required.
- Prior experience in a receptionist or office role is preferred.
- Proficiency in computer systems and Microsoft Office Suite is essential.
- Completion of required training courses within the initial 90 days of employment is mandatory.
Level 2 (including Level 1 requirements):
- A minimum of 18 months of experience in a medical office setting, with familiarity in handling insurance forms and scheduling software.
- Knowledge of office personnel and daily operations is advantageous.
Senior Level (including Level 1 and 2 requirements):
- At least 5 years of experience in a front office medical role, with expertise in insurance processes and scheduling software.
Physical Requirements:
The role necessitates the ability to sit for extended periods, utilize hands for various tasks, and occasionally lift up to 30 pounds. Reasonable accommodations may be made for individuals with disabilities.
Work Environment:
This position involves regular interaction with patients and staff, contributing to a dynamic and supportive healthcare environment.
