Position Overview:

The Project Management Associate (PMA) plays a crucial role in supporting the Project Management team to fulfill contractual commitments and uphold Amplity's standards for designated client initiatives. This role requires adept management of competing priorities and the ability to address multiple client needs through effective prioritization and escalation when necessary.

A successful PMA excels in gathering information, creating and maintaining essential project documentation, assisting Project Managers in executing various tasks, and handling project management data entry within Workday. An exceptional PMA can navigate a dynamic, fast-paced environment while ensuring that both client expectations and Amplity's standards are consistently met. The PMA serves as a vital component of the Project Management Team, contributing significantly to the overall effectiveness of the group.

Key Responsibilities:

  • Act as a liaison among Project Managers, vendors, and internal departments to ensure successful delivery of contractual obligations and adherence to Amplity standards.
  • Coordinate various project activities, including but not limited to: managing data requirements in Workday, enhancing tools and templates for project management, facilitating information exchange among workstreams, and managing documentation processes.
  • Distribute communications to internal teams, clients, and field personnel.
  • Assist Project Managers in troubleshooting and escalating issues that may impact project delivery.
  • Support Project Managers with additional project-related tasks as needed.
  • Undertake special projects as directed by the head of the Project Management department.

Key Collaborations:

  • Report to the Amplity VP within the Program and Project Management organizational structure.
  • Collaborate closely with Amplity Project Managers and various internal teams, including business line leadership, Technology, Finance, and Compliance.
  • May engage directly with clients and vendors to support project initiatives.

Qualifications:

Required:

  • Bachelor's Degree from an accredited institution or equivalent professional experience.
  • Minimum of 2 years' experience in a customer service role, supporting external clients.
  • Proven track record of delivering exceptional customer support.
  • Strong verbal, written, and interpersonal communication skills.
  • Excellent attention to detail and accuracy.
  • Solid project management capabilities.
  • Demonstrated decision-making skills.
  • Proficient in MS Office Suite.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong executive decision-making abilities.

Preferred:

  • Experience in the pharmaceutical industry or Contract Service Organizations (CSOs).
  • Familiarity with Workday, MS Teams, Zoom, and Webex.
