Job Summary

The Operations Support Specialist will support a fast-paced manufacturing environment in direct support of the Director of Operations and team. The successful candidate must have a positive attitude and be a self-starter. The Operations Support Specialist will be responsible for the following activities:

  • Gathering and preparing data, including Excel spreadsheets, to support operations visual boards and meetings.
  • Assisting the engineering team by preparing, organizing, and printing data to create binders in support of customer design reviews and hardware acceptance reviews.
  • Supporting the Supply Chain with purchasing receipts (certifications, documentation, etc.) scanning into the ERP system.
  • Supporting the Master Scheduler/Planner with scanning complete SOs into the ERP system.
  • Supporting the Quality Team with source inspection request submittals in customer portals.
  • Maintaining the N-Ray tracker for product shipped/returned from outside N-Ray suppliers.
  • Supporting the EHS Manager and Team with facility and safety needs and concerns.
  • Supporting the Operations Director by coordinating operations all-hands meetings, customer facility tours, and various team reports.
  • Scheduling travel and processing expense reports for operations team members.
  • Maintaining and reconciling multiple business credit cards.
  • Serving as the key point of contact for onsite vendors and service providers.
  • Maintaining building supplies (office and breakroom).
  • Maintaining conference rooms & supplies (including kaizen kits).
  • Providing front desk/receptionist backup as needed.
  • Assisting the Executive Assistant & Ops Director with facility renovation coordination.
  • Developing and coordinating operations-centric internal and external team-building events.
  • Active member of the safety committee.
  • Working on special projects (internal branding, team apparel).

Requirements

  • High School Diploma or equivalency.
  • 3 years of administrative/office management support experience.
  • Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability.
  • Proficiency with office applications, and aptitude for learning new software and systems.
  • Ability to maintain confidentiality of company information.
  • Strong attention to detail.
  • Strong verbal and written communication skills.

Desired Skills

  • Prior experience working within a manufacturing environment.
  • A desire to learn new skills.
  • Experience working with an ERP system such as IFS.
  • Experience in developing internal systems.
  • Advanced computer skills and experience with online platforms.
