ER Patient Registrar Job Description

Key Responsibilities:
  • Maintain up-to-date knowledge of registration requirements for various areas, including main admitting, OP registration, ED registration, maternity, and rehabilitation units.
  • Ensure accurate and timely entry of demographic information into the ADT system.
  • Properly identify patients to prevent medical record number duplication.
  • Review assigned accounts for accuracy and completeness, and obtain required documentation.
  • Meet CMS billing requirements for MSP, Important Message from Medicare, and Observation Notice.
  • Collect and enter required data into the ADT system, emphasizing accuracy of demographic and financial information for proper reimbursement.
  • Verify information entered in ADT on pre-registered accounts and correct any errors.
  • Identify forms requiring patient/guarantor signature and obtain signatures.
  • Ensure all required documents are scanned into the appropriate system.
  • Provide printed material hand-outs for patients, including Patient Rights and Responsibilities, HIPAA Privacy Act notification, and Advance Directive.
  • Follow EMTALA-compliant registration steps for Emergency Department and Labor and Delivery areas.
  • Assess self-pay patients for presumptive eligibility and initiate the process when necessary.
  • Monitor and address tasks associated with the Mede/Analytics PAI tool.
  • Follow approved scripting and verify insurance benefits on all patients registered daily.
  • Thoroughly document insurance verification information in the ADT system, including deductibles, copayments, coinsurance, and policy limitations.
  • Obtain referral, authorization, and pre-certification information, and document this in the ADT system.
  • Verify medical necessity checks have been completed for outpatient services.
  • Identify payer requirements for medical necessity and verify patient liabilities with payers.
  • Calculate patient payments and request payment at the time of registration.
  • Identify outstanding balances due from previous visits and notify patients.
  • Set up payment plans for patients who cannot pay their entire current copayment and/or past balance in one payment.
  • Document conversations with patients regarding financial liabilities and agreements to pay.
  • Apply payment to patient accounts and provide receipts for payment.
  • Clarify division of financial responsibility if payment for services is split between a medical group and an insurance company.

Requirements:
  • High School Diploma/GED or higher
  • 1+ years of customer service experience
  • 1+ years of experience with requesting and processing financial payments
  • Beginner level of proficiency working with computers/data entry
  • Ability to work Thursday 12pm-6pm and Friday to Sunday 6am-6pm
Preferred Qualifications:
  • 1+ years of experience working in a hospital Patient Registration department, physician office setting, healthcare insurance company, revenue cycle vendor, and/or other revenue cycle related roles
  • General understanding of insurance policies and procedures
  • Working knowledge of medical terminology
  • Able to perform basic mathematics for payment calculation
