The Assistant Practice Manager is a key member of our team at SALT Dental Partners, responsible for maintaining a partnership with the Practice Manager and Providers in our Grants Pass, OR office. This role involves working closely with the Practice Manager and Providers to establish and maintain a successful team, focusing on clinical team leadership, planning, patient management, team member supervision, and daily operational oversight of the office.
Key Responsibilities- Develop and implement business strategies to drive office success, ensuring all budget and production expectations are met or exceeded.
- Provide exceptional customer service to patients, resolving non-clinical aspects of complaints, concerns, and questions in a timely and effective manner.
- Partner with the Practice Manager to develop periodic performance evaluations for the team.
- Coordinate patient scheduling and flow, providing accurate route sheets, notifying providers of schedule changes, and monitoring appointments for no-shows, cancellations, and late arrivals.
- Support patient flow and maximize budgeted payroll hours.
- Ensure compliance with employment-related laws and regulations, as well as employment-related policies and procedures established by the Company.
- Build and nurture positive working relationships with doctors, Practice Managers, and team members.
- Facilitate the resolution of concerns within the office.
- Protect and verify petty cash funds, ensuring daily bank deposits are made according to established guidelines and protocols.
- Maintain patient privacy and protect patient information, adhering to HIPAA policies and procedures.
- Train team members on current company processes, policies, and procedures, supporting the Practice Manager in leading the team in new processes and policies.
- Facilitate regular team meetings and daily morning huddles, fostering communication and providing company updates.
- Comply with OSHA safety standards.
- 1-2 years of previous leadership experience within a dental or medical environment.
- Experience in leading and offering development opportunities for a team.
- Previous Practice Management Systems (PMS) experience, preferably Denticon.
- Strong interpersonal and relationship-building skills.
- Effective communication skills and the ability to build rapport with patients, staff, and providers.
- Independent decision-making skills.
- Excellent organization and multi-tasking skills.
- Previous back office experience in a dental environment.
- Strong understanding of the Oregon Health Plan (OHP) and insurances.
