Job Overview

The Construction Project Coordinator plays a crucial role in supporting the Project Manager and Superintendent, ensuring that projects are completed efficiently while adhering to the defined scope, timeline, and budget.

Key Responsibilities

Project Management Duties:

  • Evaluate shop drawings, product data, and other project submissions for alignment with project specifications. Ensure timely processing and distribution to relevant stakeholders while maintaining a comprehensive log to expedite critical submissions.
  • Monitor project schedule progress on a weekly basis and assist the project team in updating timelines as necessary.
  • Communicate all Requests for Information (RFIs) to the Project Manager promptly, maintaining a log to track their status and ensuring timely processing.
  • Identify and report any changes in project conditions, preparing change order requests with oversight from the Project Manager, and maintaining an updated change order log.
  • Establish and manage both manual and electronic filing systems on the job site, utilizing Procore to document project progress with regular updates and photographs.
  • Create and manage a punch list of incomplete or deficient work items in Procore, coordinating with subcontractors for timely resolution and conducting inspections for project acceptance.
  • Ensure compliance with safety regulations and ethical standards at all times, reporting any infractions to the Superintendent.
  • Assist the Superintendent with documentation and paperwork as needed.
  • Collaborate with the Superintendent to schedule and document project meetings, preparing and distributing meeting minutes to all team members.
  • Assess and monitor the performance of subcontractors and vendors, addressing technical and contractual matters as they arise.
  • Perform additional responsibilities as assigned.

Quality Assurance/Quality Control Responsibilities:

  • Develop quality control plans and conduct inspections according to company standards.
  • Maintain and update project quality control reports regularly.
  • Oversee the quality control system, including daily reports, deficiency logs, and safety logs.
  • Facilitate QA/QC meetings to identify and address any deficiencies or defects.
  • Provide clarifications on project plans and specifications as needed.
  • Review shop drawings and submissions for compliance with project requirements.
  • Lead and document weekly QA/QC meetings with the Superintendent.
  • Assist in coordinating subcontractor and supplier activities, ensuring timely material deliveries and compliance with approved submissions.
  • Document and coordinate testing and commissioning of building systems.
  • Maintain daily updates of project 'as-built' drawings.
  • Compile and review project closeout documents, including operation and maintenance manuals and warranties.
  • Schedule and conduct field-testing and QA/QC inspections in accordance with quality assurance regulations.
  • Ensure all work meets or exceeds contractual specifications and standards.
  • Review third-party special inspections and material testing reports.
Required Skills and Qualifications
  • Proficient in using Procore software.
  • Strong understanding of contract documents.
  • Competent in Microsoft Office Suite (Word, Excel) and Procore.
  • Excellent organizational and prioritization skills.
  • Strong interpersonal and communication abilities.
  • Effective problem-solving skills.
  • Demonstrated management and leadership capabilities.
  • Experience in multi-family construction projects.
  • Background as a Construction Project Engineer.
