Administrative Assistant Job Description

Careers of America, School of Welding and Fitting is seeking a highly organized and detail-oriented Administrative Assistant to support our administrative processes. As an Administrative Assistant, you will play a crucial role in maintaining efficient communication, organization, and coordination of tasks.

Key Responsibilities:

  • Provide administrative support to faculty and staff.
  • Manage student records, enrollment forms, and other administrative documents.
  • Coordinate communication between students, instructors, and team members.
  • Manage incoming calls, emails, and inquiries in a professional manner.
  • Schedule appointments, meetings, and events, and maintain calendars.
  • Assist in organizing workshops, seminars, and events for students and staff.
  • Help maintain a tidy and organized office environment.
  • Perform data entry, document preparation, and filing tasks as needed.
  • Assist in maintaining inventory of office supplies and place orders when necessary.
  • Collaborate with other team members to ensure efficient day-to-day operations.

Requirements:

  • High school diploma or equivalent; Associate's degree or higher is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy in work.
  • Professional and friendly demeanor.
  • Ability to work both independently and as part of a team.
