POSITION OVERVIEW:

The Client Services Specialist plays a crucial role in delivering exceptional customer support to ensure operational efficiency and foster a positive client experience. This position is tasked with the accurate and prompt processing of all orders to meet client needs effectively.

PRIMARY DUTIES:

  • Responds to incoming calls, manages incoming faxes, and addresses inquiries as necessary.
  • Efficiently processes new order intakes.
  • Coordinates evaluations and equipment modifications with clients and referrals.
  • Uploads order documentation for ATPs, ensuring timely evaluations and confirmations.
  • Requests, gathers, and reviews necessary order documents, including Functional Mobility Evaluations and Letters of Medical Necessity.
  • Keeps the team informed about the status of order processing.
  • Monitors equipment to ensure timely receipt before scheduled delivery.
  • Facilitates delivery coordination with clients once equipment is approved.
  • Communicates with clients regarding coverage, deductibles, and any financial obligations.
  • Conducts research on related equipment through vendor websites.
  • Collects and processes payments for out-of-pocket expenses.
  • Reconciles deliveries and transitions orders to billing.
  • Contacts clients for medical documentation if necessary.
  • Provides monthly forecasts for deliveries.
  • Handles all physical mailings, including no-contact letters and delivery paperwork copies.
  • Maintains contact information for healthcare providers and related personnel.
  • Performs additional duties as assigned.

REQUIRED QUALIFICATIONS:
