Job Overview
Nixon Peabody is seeking a skilled Government Affairs Specialist to provide high-level client facing logistical and administrative support to the Practice Group Leader of Government Policy and Regulatory Group. This position will assist in the coordination and management of activities of the group to ensure the needs of clients are met and stay up to date on important topics and matters related to the group.

This role requires strong research and editing capabilities, as well as demonstrated leadership and organizational skills with attention to detail. The ideal candidate will possess sound business judgment, strong problem-solving and decision-making skills, and excellent planning skills with the ability to manage a number of projects concurrently.

The anticipated annual salary range for this position in Boston, MA is $78,168 to $111,836.

Responsibilities
  • Schedules and coordinates meetings and events, and/or acts as liaison with government officials, state and federal associations, and industry, community, and business leaders.
  • Tracks, researches, analyzes, and summarizes legislative and regulatory proposals.
  • Prepares memos and presentations, and creates briefing materials for meetings at the Massachusetts State House.
  • Research, coordinate and promote business development meetings related to the Government Relations and Public Policy practice.
  • Plans and organizes meetings with members of the Massachusetts House of Representatives and Senate, state agency officials, and other key stakeholders.
  • Develops and maintains contact databases.
  • Works with Marketing Department to produce RFPs and presentations, and develop and write promotional materials such as newsletters or alerts to promote services.
  • Coordinates engagement letters, processes conflicts and new business forms.
  • Provides ongoing and up-to-date research on important topics/issues related to the practice.
  • Prepares documents quickly and accurately; promptly performs administrative tasks in InterAction, Chrome River and other firm applications.
  • Proactively manages calendars, ensuring all details are anticipated, arranged and well-coordinated, including, among other things, all meeting logistics (AV requirements, catering, other special needs); proactively informing callers when an attorney will be available to return a call; maintaining overall knowledge of the status of ongoing matters and engagements.
  • Supports proactive development initiatives such as events and monitoring attorney social media accounts, handling other tasks related to managing client relationships; preparing or coordinating services for copy and print jobs, reviewing for accuracy, sending faxes, coordinating mail/shipping needs, exercising judgment as to methods, maintaining current, well-organized files, periodically reviewing and preparing files for offsite storage.
  • Attends meetings and joins calls with clients and public officials.
  • Assists in the Firm's Political Committee activities.
  • Other duties as assigned.

Requirements
  • Bachelor's degree or equivalent experience required.
  • Minimum of 3 - 5 years of experience in an administrative support role, preferably in a legal or government environment.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Strong research and editing capabilities.
  • Demonstrated leadership and organizational skills with attention to detail.
  • Works well within a team and in a fast-paced environment.
  • Possess sound business judgment.
  • Strong problem solving and decision-making skills.
  • Excellent planning skills with the ability to manage a number of projects concurrently.
  • A proactive approach and the ability to work 'hands-on' as required.
  • Ability to be flexible regarding work responsibilities and processes, and to perform well under deadlines and other stressful situations.
  • Ability to work independently with minimal supervision.
  • Provide prompt high-quality service to clients and attorneys.
  • Efficient in Microsoft Office Suite (i.e., Excel and Power Point).
