KEY RESPONSIBILITIES

Dispatch Operations
  • Drafts correspondence for clients and team members.
  • Coordinates technician deployment for both scheduled and urgent requests.
  • Assists clients as needed, embodying BGIS's mission and values.
  • Handles incoming calls and documents pertinent information.
  • Communicates client information to service managers effectively.
Administrative Support
  • Enters maintenance agreements into relevant software systems.
  • Prepares monthly billing information for clients.
  • Creates proposals, presentations, meeting notes, and other documentation such as labels and envelopes.
  • Maintains accurate records of sales achievements and enhances service visibility.
  • Evaluates current service processes and implements improvements for efficiency.
  • Generates reports for regular meetings, including pipeline updates, sales summaries, maintenance project updates, manpower statistics, and employee expenses.
  • Tracks service projects through the management of contracts.
  • Monitors service sales by analyzing lost bids, successful bids, and ongoing proposals.
  • Keeps proposal logs up to date.
  • Develops software solutions to reduce reliance on printed materials, expedite workflows, and enhance the professional presentation of final products.
Required Knowledge and Skills
  • Proficient in Microsoft Office Suite - Word, Excel, PowerPoint, Outlook, and Visio; familiarity with SharePoint is a plus.
  • Ability to effectively review proposals, bids, contracts, and manpower reports.
  • Willingness to undertake additional responsibilities as assigned.
