This role is pivotal in ensuring effective communication with both suppliers and clients, guaranteeing timely deliveries while addressing customer needs. The successful candidate will report directly to the Logistics Manager.

Key Responsibilities:
  • Schedule and dispatch vendors or independent contractors to designated locations based on customer specifications and requirements, utilizing telecommunication and dispatch software. Provide all relevant information (customer locations, pickup types, scanning needs, temperature specifications, etc.) to vendors at the time of dispatch.
  • Act as the primary contact for all vendors within assigned territories, keeping them informed about traffic issues such as construction, accidents, congestion, weather conditions, and other potential hazards.
  • Oversee vendor communications to ensure all routes are adequately covered as necessary.
  • Assess and respond to emergencies, accidents, and breakdowns effectively and appropriately.
  • Communicate Chain of Custody standards (location scanning, specimen handling, parcel scanning, etc.) as required by Capstone Logistics clients.
  • Address vendor issues or complaints and escalate to vendor management when further assistance is necessary.
  • Evaluate the significance of incoming calls and prioritize them accordingly.
  • Support the customer service team as needed, particularly during peak periods.
  • Ensure adherence to policies and procedures outlined in the Independent Contractor Operating Agreement.
  • Make informed decisions to determine the most suitable delivery methods that meet or exceed customer service expectations.
  • Maintain precise documentation regarding the status of each job within the dispatch POD, manage work distribution, and ensure all documentation is complete before job clearance.
Customer Service Responsibilities:
  • Deliver outstanding customer service by ensuring timely and efficient courier services according to route schedules and on-demand requests.
  • Engage with customers or supervisory personnel to resolve inquiries, issues, complaints, and service requests.
  • Keep customers informed of any changes to route schedules or on-demand delays.
Qualifications:
  • Exceptional verbal communication and problem-solving abilities.
  • Proficient in computer applications, including Microsoft Word, Outlook, and Internet navigation.
  • Strong interpersonal skills with the ability to foster teamwork and motivate others.
  • Familiarity with local and regional geography.
  • Ability to read maps accurately and quickly.
  • Capable of making optimal decisions under pressure and time constraints.
Skills:
- Excellent communication skills for effective interaction with internal teams, external vendors, and clients.
- Comprehensive knowledge of freight forwarding, transportation planning, and logistics operations.
- Proficient in logistics software systems such as SyteLine or similar platforms.
- Ability to analyze data and make informed decisions to enhance logistics processes.
- Familiarity with fleet management practices and coordination of vehicle maintenance schedules.
- Knowledge of GPS tracking systems to monitor shipments and ensure timely delivery.
- Strong organizational skills to manage multiple tasks and prioritize effectively.
- Attention to detail to ensure accuracy in documentation and record-keeping.
- Capacity to thrive in a fast-paced environment and adapt to shifting priorities.
